User View: How to Request and Accept a Shift Replacement from the App and Desktop

If you have a shift that you’d like to find a replacement for, you can easily do this from inside the schedule. In this article, we will show you how to do this from the App and the desktop!

How to Request a Shift Replacement From the Mobile App

  1. Access the company’s app. Click here to learn how.

  2. Click the Job Schedule feature and select your Job Schedule

  3. Select the relevant shift, and click on Find replacement to the right of the screen

  4. Choose any user from the list and click Done.

  5. Once the request has been approved by the receiving user, it will go through the admin approval and you will be notified once it's approved and follow its status

You can view all of your shift replacement requests ( both received and sent by you) by clicking on replacements at the lower right corner of the job schedule screen.

Please note that your request to replace a shift might need to go through admins' approval, in that case, you will see the replacement status in the replacement tab. Once the employee AND the admin have approved the shift replacement you'll receive a notification ad the shift will be removed from your schedule.

Pro tip: If you do not see the find replacement option, it means your admin disabled this capability.

How to Respond to a Shift Replacement Request on the App

If an employee sends you a shift replacement, you can choose to approve or decline the request. Once you approve the shift replacement on your end, it will go through your admin's approval, and once approved, you will get notified. Let's see how this looks below.

How to Request a Shift Replacement from the Dashboard

  1. Log into your desktop view, if you’re not sure how to do this then check out this article

  2. Navigate to the Job Schedule on the left sidebar. Once inside the schedule, click on the shift you are looking for a replacement for.

  3. Inside the shift details press “Find a Replacement”

  4. Select the User and press "got it"

Please note that your request to replace a shift might need to go through admins' approval, in that case, you will see the replacement status in the replacement tab. Once the employee that you requested their replacement will accept it, you will receive a message stating that it's accepted by the user and is now pending admins approval, once approved the shifts will be replaced and you'll get notified. Let's have a look at the process below:

Step 1: The replacement is pending the employee's approval

Step 2: Access the Replacement tab on the top right and access the "sent by me" view. In the example below, we can see in the picture on the left that the replacement is pending Jordan's response. on the right side, we can see that Jordan approved the replacement that is now pending the admin's approval

Step 3: the replacement went through admin approval, if it's accepted the shifts will be replaced and you will see the status as accepted both by the employee and admin.

How to respond to a shift request replacement on the dashboard

Step 1: Go to the "replacement tab on the top right of your schedule view and access the "received" view. In the example below we can see the pending request that is waiting for a response and the history of the previous request.

Step 2: Click on the request and choose to accept or decline the request. Once done, the request will move to the admins' approval.

Step 3: the request will move to admins' approval and you can follow its status under the replacement tab in the "received" view
