Wix Booking offers your business a scheduling system that allows clients to easily book the services your business offers. However, it does not provide critical employee management tools that Connecteam does, such as Timesheets, Payroll Calculations, Advanced Scheduling Tools, Communication Tools, and HR Solutions. By syncing your Wix Booking account with Connecteam you'll be able to manage your employees with ease and streamline operation, while still letting clients book services independently via Wix. If you are already using Connecteam then integrating with Wix Booking is a solution that allows your clients to book services and those jobs and times appear directly in the Job Scheadule.
In this article, we will guide you through the steps to integrate Wix Booking with Connecteam, covering the following topics:
What Can Be Synced Between Wix & Connecteam
Below we will review how everything looks when the sync is set up! For now, get familiar with the terminology of the two platforms. Please note that at the moment only one booking site can be synced with one connecteam scheadule.
The following are transferred between Connecteam and Wix. Note that unavailability and time off are transferred to Wix, but blocked time is not transferred from Wix to Connecteam.
Sync Limitations
At the moment the sync does not support:
Group Shifts: Currently Wix does not support group shifts. This means it is not possible to edit shifts transferred from Wix to Connecteam and assign additional users to it.
Shifts Longer than 24 hours: these shifts will not be transferred from Wix to Connecteam.
How To Sync Wix Booking with Your Connecteam Schedule
Step 1: Sync Connecteam & Wix
Navigate to the Job Scheadule, click on settings, enter the integrations tab, and click on Connect. Next, select a site.
Then, you should see that the connection was successful, and you can press continue to proceed to the next step.
Step 2: Matching Users
Now you'll match your staff in Wix to your Users in Connecteam. Wix staff with users in Connecteam will be automatically matched. For unmatched staff, you can decide to add a new user or exclude the user from Connecteam.
When adding a new user the name and phone number will be taken from Wix. If the phone number is missing, you will need to add one.
Please note that if the user's last name is missing, the word Wix Staff will be added as a last name.
Step 3: Matching Jobs
The next step is to match your Wix services with your Connecteam Jobs. They should be matched automatically by name. If a job has no match in connecteam, you can manually select from a list of jobs and their sub-job, create a new job, or exclude the service altogether.
Step 4: Final Settings
The last step is to set up your final settings you can choose between two options, publish shifts or draft shift. Let's go over the difference:
Publish Shifts - shifts from Wix will be automatically published for Users in Connecteam. Employees will immediately see these shifts.
Draft Shifts - shifts from Wix will be added as drafts to the Connecteam scheadule, but not visible for users to see.
Once you have finished with this step press continue, you should be able to complete your integration and you can press done.
Understanding the Sync: How Appointments Appear As Shifts
Now that the integration is complete let's go over how information from Wix is transferred to connecteam. Below you can see what data is transferred and where it is.
Client Name - entered into the notes section of the shift
Client Contact Information - entered into the notes section of the shift
Date - is entered as the date
Time - is entered as the shift start and end times
Location - is entered as the location of the shift
Service - is entered as the Job
Employee - is entered as the user
Please note that in the case that a user was excluded from the sync (as seen above) then the shift will still be synced, however, it will be created as an unassigned shift. In the case that a service was excluded from the sync the name of the service will appear in the shift title.
💡Tip: All shifts created through the sync with Wix are marked as source Wix inside the shift so that you can easily identify them.
