How to Set up a User sync with PrismHR

By syncing your Prism HR account with Connecteam, the system automatically adds, updates, and archives users in Connecteam based on the data in Prism HR—saving you the hassle of manually doing this yourself.

What Does This Integration Do?

Once connected, Connecteam will automatically:

  • Create new users: Once a user is created in Prism HR, they will automatically be pulled into Connecteam and marked as Pending Approval.

  • Update existing users: If a user’s information is updated in Prism HR, the update will appear in the Pending Approvals tab in Connecteam for you to approve.

  • Archive users: If a user is archived or deleted in Prism HR, they will also be archived in Connecteam.

⚠️ This integration only works one way: from Prism HR into Connecteam.

Who Can Set Up This Integration?

Only the Owner of the Connecteam account can set up this integration (Admins are not able to). In addition, your account must be on a Basic Plan or higher in any hub.

How to Set Up the Integration

Step 1: Connect Your Prism HR Account

  1. Go to the Users page in your dashboard.

  2. Click the Add Users dropdown.

  3. Select User Integrations.

  4. Click Connect next to Prism HR.

  5. A pop-up will appear explaining the integration. Click Connect to Prism HR.

  6. Enter your Prism HR email and password, and click Continue.

  7. Once you’re successfully logged in, you’ll return to Connecteam. Click Continue to begin the setup.

Step 2: Set Up the Integration

  1. On the setup page, review the integration overview and click Next.

  2. Map your Prism HR fields to your Connecteam fields.

    • The following fields are required: First name, Last name, Mobile phone number.

    • You can map more fields by clicking + Add Field.

    • You can remove fields by clicking the trash icon.

  3. When you’re ready, click Complete.

✅ A pop-up will appear letting you know the setup is complete. Click Got it.

What Happens After Setup?

Once the integration is complete, any new user or user update from Prism HR will be sent to your Pending Approvals tab on the Users page.

To review pending approvals:

  1. Go to the Users page.

  2. Click the Pending approvals button (next to the Admins button).

There you’ll see:

  • New user (from Prism HR) – A new employee was added in Prism HR. Click to review and approve.

  • Match with existing user – If Connecteam suspects the new Prism HR user already exists in your account, it will suggest a match. You can confirm or reject the match.

  • Update user (from Prism HR) – A change was made in Prism HR to a synced employee (e.g., phone number). You’ll see the old and new values and can approve or ignore.

  • Invite link user (from Connecteam) – Users who joined via invite link will also appear here but are not part of the sync. You can approve or ignore them as usual.

✅ You can also click Approve all or Ignore all to handle multiple approvals at once.

What Happens Next?

Once a user is approved, they will automatically stay in sync with their Prism HR profile. Any changes made to their data in Prism HR will appear in the Pending Approvals tab as an Update user request.

You’ll always be notified of any change—nothing will be automatically changed in Connecteam without your approval.
