Hiring can quickly become complicated when candidate information is scattered across emails, spreadsheets, and notes. Connecteam’s hiring feature brings everything together in one centralized place, allowing you to collect, organize, and review all candidate details with ease. With clear visibility into each applicant’s progress, you can track where every candidate stands in the hiring process, helping you stay organized, make informed decisions, and move the right people forward faster.
How to Activate the Hiring Feature
To activate the Hiring feature, follow these steps:
Head over to the HR & Skills section in the left sidebar.
click on "Add New" and Choose "Hiring"
Click Add position to add the role you’re currently accepting applications for.
Provide a name for the position, such as 'HR Team Lead', and click Next.
If needed, add an introduction message.
Next, select the relevant form fields that will appear in the application. You can include text fields such as first name and last name, link fields for applicants to share their LinkedIn profile; or file upload fields for documents like their CV.
Next, set up your hiring process. By default, the first step is Application Review. Click Add step to define each additional stage based on your workflow. You can use and customize example steps like Screening Call, In-Person Interview, or Reference Check, or add others such as a Home Test.
To rearrange the order of the steps, hover over the relevant step, click on the dotted square and drag the step to the relevant place.
Finally, review the summary to ensure all details are correct. When ready, click Save Position. If you're ready to generate the application link and allow users to submit applications immediately, choose Save & Generate.
How to Generate Position Link
After creating your position, it's time to enable the link and distribute it, so candidates can submit their application.
If you didn't select the option Save & Generate link during the position creation, click the three dots on the top of the screen, and select the option Link enabled.
Copy the link and post it in the relevant channels.
If an admin wants to submit an applicant themselves, they can do so by clicking on + Add candidate next to the hiring steps.
Candidate Application Process
When the user clicks the link, they will be prompted to complete all the details you previously defined. Once finished, they should click Submit Application.
How to Monitor the Hiring Process
Once candidates submit their applications, they will appear on the position page, where you can track each candidate through the hiring stages:
Within each hiring step, you can view the candidates currently at that stage, along with their mobile number for easy contact, the date they submitted their application, how many days they’ve been in this stage (to help prioritize applicants), and any additional fields you’ve added.
Once a candidate completes a hiring step, click the green check mark to advance them to the next step if they pass, or the red X to reject them if they didn't. If you reject the candidate, you will be prompted to include a rejection reason and an optional note.
By clicking on the three dots on the far right of the candidate you can do the following:
Add note: add a note about the candidate, such as an important detail you’d like to remember.
View candidate: clicking on this option presents full candidate details, including their hiring stage and their application.
Edit application: allows you to edit the candidate's application, in case they made a mistake.
Change status: change the status of the candidate at any point. If the candidate decides to withdraw their application, change the status to Withdrawn.
Delete candidate: this option deletes the candidate from the system.
Once you reach the last hiring step, decide whether to hire the candidate, and add a note if relevant. The candidate will then appear under the Hired section.
If a hired candidate falls through, you can access the Rejected tab at any time and reopen their application. The candidate will be moved back to the last hiring step they were in before being rejected.
If you need to move the candidate back to the previous step, click on them to open their candidate profile. Next, select the previous step and click on the three dots on the far right. Finally, click Reopen.
