How Do I Use the Time Clock?

An employee guide to understanding and using the time clock to track all your worked hours

The Time Clock is a tool for easily clocking in and out of work and tracking your hours. Whether you have scheduled shifts or flexible hours, the Time Clock helps document your time working on a job, your breaks, and other shift details. Not sure how to start? We’re here to help!

Accessing and Understanding Your Time Clock

To access your time clock, begin by logging into your account, then navigate to the Feed tab, and press the Time Clock, which is available at the top of the screen. If you are assigned to multiple time clocks, select the relevant one. 

Once you have accessed the time clock, you will notice the following layout:

  • Map: If your manager requires you to enable location services to clock in and out, you will see your current live location. If location services are not mandatory, you will have the option to turn them on if you wish. 

  • Upcoming shifts: If you have any shifts scheduled for today, they will be displayed. You can click on a shift to view its details. If you have multiple shifts, click on the three dots to switch between them or choose the option "Clock in without a shift". Please note: the option of clocking in without a scheduled shift is only available if your manager allows it.

  • Clock-In button: This is the main button for clocking in and out of work. When you press it, the clock will start running and your time will be saved in your timesheets. It will display "Start Shift" if you have a scheduled shift or "Clock In" if you work without a scheduled shift.

  • Start Break: Not only can you clock into a shift, but you can also start a break. This option is available right below the clock-in button. You will only see this option "Start break" if your manager has enabled manual breaks.

  • My Requests: In this section, you will be able to view, manage, and submit all your shift requests and time off requests. We will elaborate further on this later in the article. 

  • Timesheet: In this section, you can view a summary of all your worked hours (regular and overtime), shifts, jobs, breaks, and approved time off. You can also export your timesheets and more. We will elaborate further on this later in the article.

How to Clock In

To clock in:

  1. Log into your account on the mobile app

  2. Navigate to the Feed tab

  3. Select the Time Clock feature, displayed at the top of the page

  4. Select the relevant time clock (if you've been assigned to more than one)

  5. Press on Clock in

  6. Done! You are now clocked in.

Once you are clocked in, the time will start counting and will be displayed at the top. It's important to note that you can switch between shifts or jobs and start a break while you are clocked in.

How to Switch Shifts or Jobs

To switch between shifts or jobs:

  1. Access your Time Clock where you'll see you are clocked in and the clock is running

  2. Press Switch Shift/Job

  3. Choose to switch to a different scheduled shift for that day or clock in without a shift.

    • If you choose a scheduled shift, you will be automatically switched from the previous shift to the selected one.

    • If you choose to clock in without a shift, you will get a list of jobs to choose from. Select one to switch.

  4. Excellent - you have made the switch!

Keep in mind that you will remain clocked in during this process.

💡Tip: Navigate to the "My Day Log" to view a breakdown of your day's work. It displays any breaks you've taken, along with all the jobs and shifts you've clocked into.

How to Start a Break

To start a break:

  1. Access your Time Clock where you'll see you are clocked in and the clock is running

  2. Press on the Start break button

  3. Different types of breaks may appear, choose the one you want and press on it

  4. Done - you have begun your break!

Once you've finished with your break, you can click on End Break, and you'll need to choose whether to Return to the job/shift you were doing before, to switch job/shift, or to End your shift.

Please note: the ability to start a break will only be available if your manager allows it. If you don't have this option, then your manager has either disabled the breaks completely or has created automatic breaks, which are automatically calculated and added to your timesheet once you clock out.

How to Clock Out

Once you have finished your shift and are ready to stop working, you can clock out by following these steps:

  1. Access your Time Clock where you'll see you are clocked in and the clock is running

  2. Before clocking out, review the Shift Attachments section. Here, you can manually add any additional information about your work hours for the day, such as notes. This information will be available for your manager to review afterward. Additionally, you can fill out any other shift attachments your manager created, such as mileage logs, signatures, or file attachments.

  3. Then click on End Shift

  4. You will be able to review the shift details and edit them.

    1. If you need to make adjustments, press on Edit shift, then make your changes, and then press on Send for approval or Confirm hours (depending on what your manager set)

    2. If no adjustments are needed, press on Confirm hours.

Please note: if any of the existing shift attachments were set as mandatory by your manager, you will only be able to clock out once you complete them.

How to Submit and Manage Shift Requests

Did you forget to clock in? No problem, it happens to all of us! You can add a shift request which the admin will approve or add automatically.

To submit a shift request:

  1. Navigate to the Feed tab

  2. Select the Time Clock feature, displayed at the top of the page

  3. Select the relevant time clock (if you've been assigned to more than one)

  4. Press on My requests

  5. You will see all your existing approved, declined, and pending requests.

  6. Press on + Add a new request

  7. Choose between a shift request, a break request, or a time off request.

  8. Fill out its details and then hit Add or Send for approval (depending on what your manager set)

  9. All done!

If you've made a mistake, click on any of your pending requests and press Cancel request.

How to View Your Timesheets

Want to look over your timesheets to confirm your hours or to know how many hours you have worked? You can easily access your timesheets from the mobile app with the following steps:

  1. As you have done until now, log into your account on the mobile app

  2. Navigate to the Feed tab

  3. Select the Time Clock feature, displayed at the top of the page

  4. Select the relevant time clock (if you've been assigned to more than one)

  5. Press on Timesheet to view all your hours.

  6. Feel free to select any specific day to view more details about how you spent your time that day and see the shift details.

💡Tip: press the Today button to be quickly redirected to the current day.

By default, you will view your worked hours for the current pay period but you can adjust the date range as well if you wish by clicking on the date and then either selecting a previous pay period or a custom date.

Quick Actions

There are a few very useful quick actions that you can take from your timesheets on the mobile app. To access them, press on the three dots in the top right corner, where you'll see these actions:

  • Export as PDF: you can download your timesheets in PDF by clicking this option. This is an example of what the exported file looks like:

  • Add a new request: as mentioned previously, you can add a new shift request, break request (depending on your manager's setup), or time off request. Once you add all its details, you will either be able to add it or Send it for approval. In the case, where you have pending requests, waiting for an admin's approval, you can also quickly view them by pressing on Pending requests from your timesheets.

  • Submit timesheet: this option is used at the end of a pay period when you've reviewed your timesheets and are ready to submit them to your admins so they can complete the payroll process. Please note: when you submit your timesheet, you will no longer be able to clock in or make any edits to your timesheet until you reach the next pay period.
