Welcome to our Time Clock starting guide! In this guide, we will teach you everything needed to get started with the Time Clock. The guide will be divided into five sections, each with a short instructional video to teach you how to use our time clock. Don't worry; we know your time is valuable, so we've kept each video between 1 and 5 minutes! Feel free to skip any section that's not relevant to your business.

  1. Intro & General Overview - This video is the most important and will show you the basics of our time clock from an employee and manager perspective and how to export for payroll.

  2. Setting up Jobs - Here, we'll teach you how to set up your jobs that you wish to track time for.

  3. Essential Settings - To ensure you stay compliant and avoid time theft, we go over some of the most essential settings, such as how to set up geolocation, your payroll period, overtime, breaks, and more.

  4. Preparing for Payroll - Now that your time clock is set up, it's time to learn how to prepare for your first payroll export to ensure no mistakes are made.

  5. Preventing Time Theft - This video will dive deeper into the different features that will help to ensure employees' hours are correct.

Intro and General Overview

In the first video, we will give you a basic overview of how Connecteam will work for you and your team. The video is divided into four parts:

  1. How users clock into Connecteam to track their hours using the mobile app. Remember, employees can also clock in through the computer using our web dashboard or by setting up a dedicated Kiosk Station.

  2. Tracking your employee's daily activity using the Today tab to see when they clocked in and out, their locations, and more.

  3. Preparíng for payroll and editing your employee's timesheets.

  4. Exporting for payroll & integrations

Setting Up Jobs

Users must select which job they need to do when they clock in. We call them jobs, but depending on your company, this can be a customer, an activity, a location, a role, and more. This video explains how to set up your jobs and how they differ for different companies. For companies with many jobs, we recommend adding a few so that you can get started. The rest can always be added later.

Essential Settings

After you have set up your jobs it's time to make sure you set up the time clock to fit your business and to stay compliant. In this video, we recommend setting up the following:

  1. Setting up your workdays

  2. Setting up your payroll period so that your timesheet will always reflect it for you and your users

  3. Setting up weekly and daily overtime. Connecteam offers many more options, so check out the full article for more details.

  4. How to manage breaks - both manual and automatic breaks are available.

Preparing for Payroll

Now that your time clock is set up and employees are clocking in and out, it's time to prepare for payroll. In this video, we dive deeper into:

  • Auto reports - Instead of manually exporting timesheets, you can set up an automatic export.

  • Custom Export - For those with tailored needs, you can create a custom export and decide which fields should be included or not.

Preventing Time Theft

One of the most common reasons that companies love Connecteam is that we help ensure that the hours your employees work are the hours they get paid for. This video will teach you how to:

  • Capture employees' locations when clocking in and out using Geolocation.

  • Create a Geofence to ensure they clock at the work site and not anywhere else

  • Activate Breadcrumbs to track your employee's live location

  • Auto-clock employees after X hours or set up Limitations that only allow them to clock in when their shift starts and auto-clock them out when it ends.
