Learn how to manage users while using Team Chats

It’s hard to keep track of which employees are in which group chats, almost impossible to understand which information is relevant, and you can’t even be sure that each employee has the same chat app! Creating A Team Chat

When creating a Team Chat there are two options-either to create the chat based on users or based on smart groups. Let's go over the best use case for each one.

When do I use Smart Groups?

If you want to create a Team chat for an already formed group of employees, like "Nurses Chat", Smart Groups is the preferred choice. The chat will be available to current and future users who match the group's rules. This ensures that your employees, old and new, never miss an update they need to see!

If a user is added or removed from a smart group, the system automatically removes or adds the mobile user to the Team Chat. Connecteam does it all for you!

For example, say you have a new employee in the "New Employee" smart group, where they will receive all the relevant information they need for a certain period of time. Then, after their training is over they are moved to the "Nurses" Smart Group as mentioned above, where they will be automatically assigned to the "Nurses Chat" and removed from the "New Employee Chat", as the filter no longer applies.

All you need to do is click on the "Add New" drop-down on the top left-hand side where you choose "Team Chat". There, you give your chat a name, select "Smart Groups" and decide which smart group to use and that's it! A new team chat based on your smart group filters.

When do I use Select Users?

If you want to create a chat with existing users only or for users who are not a part of any group, the Select Users option is the right choice. With this option, you can manually select which users you want to add. Keep in mind that you can choose which admins or users will be the team chat managers.

This is how it's done:

Want to change the members of the Team Chat? It's simple!

  1. Click on the desired team chat

  2. Click "Edit Team"

  3. Choose if you want to add or remove users with Select Users. By default, old team members will be already selected.

Pro Tip: Initially used the Select Users option but want to change the chat to fit Smart Group filters? You can! After pressing the "Edit Team" button, select the "Smart Groups" option. Just know that doing this clears the previous users selected for the chat.

Adding an Admin to the team chat

Adding an admin to the chat is quick and easy. Just click on the information sign, and click on the green star to make a mobile user (your employee) a chat admin. If you would want to remove them as an admin, simply click on the green star again.

In short, the chat feature is an extremely convenient way to bring structure and organization to employee communication. Whether they're based on Smart Groups or Selected Users, you can always manage them to best fit your business's needs.
