Have you ever heard your car make a noise that didn’t sound right?

Even as the noise grows louder, you put off getting it fixed.

Then one day, your car breaks down. The realization that you could have avoided the problem earlier hits you like a punch to the gut.

Whether it’s a performance issue or employees feuding, there comes a time when leaders must break the silence.

In this article, we will go on how to successfully schedule a talk with an employee, file the conversation and follow your company protocol overall. The In this article, we will use an example of a disciplinary talk with an employee, and the principles discussed here can be applied to any other industry.

🧗 Step 1: Prepare your Disciplinary/Assessment Forms

It is very important to come prepared for these meetings and to follow specific guidelines so the meeting would have a proper structure to follow and all that you have planned to express will be passed on to the user.

With Connecteam’s Forms feature, we have prepared just that! We have created a disciplinary Form template.

Access the Forms feature located on the left sidebar, click on ‘Add new’, and choose from a template. Search for ‘Disciplinary Form’ and proceed to the creation page.

and choose to ‘Use a template'. Search for ‘Disciplinary Form’ and proceed to the creation page.

Once inside the creation page, you can edit the whole template completely as you find fit or use it as it is.

When publishing this form, it is best to select the ‘All Admin Group’ so only your admin will be able to view this form and no one else.

Each form has its own ‘Share Options’ settings which allow you to immediately share the submission with other recipients other than the admins assigned to it.

When having conversations with your employees it is best to share this with them.

To do so simply go to the forms option and then click on settings.

In the settings tab navigate your way to the ‘share options’ tab located on the left side of the screen. In this tab, we can select a few share options, one of which is to select users from the list. Add all your users.

📅 Step 2: Create a shift for the employee that invites the user to a talk

First things first, we need to schedule the conversation with our employees and allow them time to prepare and give them a heads up. The Job Scheduler can be used not only to schedule work shifts but also to schedule user’s for a personal talk or any other activity you choose.

Simply access your schedule and decide on the day you want to have this meeting. As shown in the example, our shift title is ‘Personal Talk With Boris’

We didnt choose any Job for this since it is not necessary. We have added a small description and the location where the meeting will take place.

After we have created the shift all that is left is to click on publish and our user will be informed.

📑 Step 3: Submitting the form and sharing it with your employee

You have finished your meeting and you made notes throughout the meeting, it is time to fill in the Form. This process is best done Through the ‘User View’ on your dashboard. To change your view simply click on the top right-hand corner of the screen and select the ‘Switch to user view’

Once we are in the user view we can access the Forms feature and choose the relevant form.

Once we complete it, choose the user to share it with, and let’s move to our next step!

🏷️ Step 4: Add it to the user’s Timeline

Documenting progress and personal talks is the key to strong leadership and correct processes in a business.

We have the form filled, let’s move on and ‘file it’ to the user Timeline and have it documented in the user’s journey in the company.

Go on to the User’s tab and select the relevant user. once we are in we can see on the user page we have the Timeline tab. Click on ‘Add event’ to file our form.

In the new event tab, we can create a new type of event, in our case, we will call it ‘Disciplinary’

Next, let us add all the relevant information, attach the form that we have filled and click on add event.

Now we have it all documented and stored on the platform, having your employees' work history and documented progress.

💡 Pro Tip: To have this form all we need to do is to go to the forms entry and download it to our PC.
