Here are 5 steps to become a “project manager” with Connecteam

When managing a large project, most people dive headfirst into new endeavors without putting any serious thought into the big picture. Every project is different and comes with a unique set of challenges. Having a basic roadmap for getting things started can be incredibly useful.

The unfortunate truth is that even if you don’t carry the title “project manager,” professionals of all backgrounds are frequently expected to successfully manage projects on time and within budget.

In this article, we will cover how you can oversee, manage and delegate your projects alongside your day 2 day, using Connecteam as an All-In-One solution.

🧑‍🤝‍🧑Step 1: Form the team

Every big project requires a great team. Ask yourself: who else is responsible for completing this project?

Tags are a smart and useful way to identify your workforce. They are very easy to create and they will help you create a smart group within a smart group.


Creating a Tag via Users profile

  1. Click on your Users tab from your sidebar.

  2. Select any user you wish and enter their personal profile.

  3. Click Add tags.

  4. A new window will open on the right side of the screen. Click Create new tag and type your tag -

After creating the tags and assigning them to your select project team you can group them as a smart group and the identifying filter will be that tag.

Let's go over the steps to make this happen below:

Step 1: Navigate to the smart group's category on the left sidebar

Step 2: First, add a Segment

Step 3: Use the + Add a group button from inside the Segment to create a group and then name the group

Step 4: Set the Filter. First, choose the tag, to select the criteria that the group will be defined by. This is done by choosing the option (the tag) which filters the group.

💬Step 2: Create an Internal Chat for the Team

Before you start assigning roles and delegating tasks, it’s important to communicate with your team and create a shared goal that is meaningful to everyone involved.

Team chats allow you to create groups and share relevant information with each other. Team members can send messages and a variety of attachments to communicate with ease.

All team members that are a part of the team chat will have the ability to see and respond to the messages. If you want to create a Team Chat for a group of employees like "Changing office project", Smart Groups will be your choice. The Team Chat will be available to current and future users that match the group's rules set.

📖Step 3: Define a shared goal, delegate responsibilities, and set a time frame

Teams perform best when we understand our roles, play our positions, and help our teammates shine. Now that you’ve assembled your team and assigned roles and responsibilities, it’s important to recognize every individual who is affected by or is familiar with the work.

Connecteam’s Knowledge Base feature easily connects your employees with information by creating custom libraries for policies, catalogs, guides, and specific projects! In the Knowledge base, you can create separate sections for each responsibility or topic with each containing folders, text, links, or documents. This gives you complete control when organizing all the information inside your Knowledge Base.

Step by Step: Activating the Knowledge Base

Step 1: Navigate to the left sidebar and to the add new feature button

Step 2: Add a Knowledge Base

Step 3: Name the Knowledge Base

Step 4: Save Changes

Once you have activated the Knowledge Base you will want to add Section Folders. These will serve as the base to which you will then add SubFolders.

Once you have added all your section folders you need to add subfolders to these sections. This allows you to keep things extra organized. Later on, you will add all the information or knowledge you want into these subfolders.

When you publish the knowledge base make sure you select the group we have created under our project tag.

✅Step 3: Break down the project into tasks

Begin to break down your major goal into smaller more visible goals, and decide who is going to be accountable for which segments of the project, based on your predetermined roles and responsibilities. By breaking down your larger objective, your project will become more manageable, your team will feel less stressed, and will have a more direct focus on the tasks at hand.

The Quick Tasks feature allows you to manage and oversee your day-to-day one-off tasks, recurring tasks, and projects.

Activating Quick Tasks:

  1. To activate the feature, click the "Add New" icon in the bottom left corner of the side menu bar.

  2. Select "Quick Tasks"

If the Quick Task feature is appearing in your sidebar menu already, click on it and press the “Activate Quick Tasks” button.

Congrats, your Connecteam Quick Task has been activated and you have arrived at your Quick Task Lobby :

Now you can create a single task or multiple tasks. In this example, we are going to create multiple tasks for selected users from our project group.

Create multiple tasks

  1. Navigate to the Quick Task Category.

  2. Click the "+ Add Task" Icon on the top right of the screen and choose "Multiple Task".

  3. Fill in all the relevant information.

  4. Click the "Add tasks" icon at the bottom right of the screen.

When creating tasks keep in mind that you can add 'shortcuts' in the description of the task. Shortcuts are internal links that can be added to a variety of features such as a shift or a task.

Don't forget to label the task so it will be easy to follow what tasks are under this project. Labels are an information layer that can be added in order to classify, categorize, group, and associate one or multiple tasks across your organization.

🏆Step 5: Recognize your employees for a good job

One of the longest-standing ways to motivate a team is to create reward-based motivation. Incentivizing the completion of great work has the power to inspire your team to get ahead. But contrary to popular belief human beings crave much more than just material rewards. They crave progress.

Recognitions are a great way to recognize your employee's accomplishments, celebrate wins, promote company values, and much more!

Recognitions in the User's Profile

To find recognitions in the user’s profile simply enter the Users tab, select a user, and navigate to the recognitions tab.

Here you can see all past recognitions a user has ever received.

How to Send Recognitions From Inside a User’s Profile

To send a recognition simply select the send recognitions buttons and by default, the user will already be selected. Then Select the badge, viewers, and a message, and press send.
