Formula question types bring powerful automation to your forms, eliminating manual calculations and reducing errors. Whether tracking mileage for reimbursements or totaling expenses, these dynamic fields ensure accuracy and save time. By allowing real-time calculations based on user inputs, formula questions enhance efficiency, improve data integrity, and streamline workflows, making them an essential tool for businesses looking to optimize their processes.

How to Add a Formula to a Form

To create a new form with a formula question type, follow these steps:

  1. Access the Forms feature from the left sidebar, and click on Add new on the far right.

  2. Select whether to start from scratch or use a template.

  3. In the modal that opens, click on Add field at the top of the page.

  4. Add any relevant fields which will be used for your formula. Taking 'Mileage' as an example, you can add Starting mileage and Ending mileage number fields.

  5. Next, select the Formula option.

  6. Provide a name for the formula (for example, mileage) and a description.

  7. Build your formula by clicking on Add field and selecting either Numeric, Number slider, Rating, or Formula.

  8. For Mileage, for example, you can set your formula to {Ending mileage} +{Starting mileage}, to determine the total mileage driven during work.

  9. When done, click Save to save the form.

How to View the Formula Results

Account admins or owners will be able to view the formula results when reviewing the form entries or when looking at the Summary tab.

To view form entries, access the relevant form and click "Show Entries." A separate column will display the total based on your created formula, and hovering over it will reveal the formula details.

In the Summary tab, you can view a detailed breakdown of every field in your form. To see the averages for all mileages or expenses, or a breakdown of total amounts, select the relevant field and check the Insights and Responses sections.
