Automating Workflows with Connecteam NFC Events Using Zapier Webhooks

Zapier is an automation platform that connects thousands of web apps, allowing you to create automated workflows—called Zaps—without writing any code.

While NFC events are not yet available as a native Zapier trigger, Connecteam NFC scans can still trigger powerful automations by sending event data to Zapier Webhooks.

This allows real-world, on-site actions—such as scanning an NFC tag—to instantly trigger digital workflows across your systems.

Prerequisites

To complete this integration, you will need:

• A Connecteam account with an Advanced plan or higher
• NFC tags configured in Connecteam
• Employees assigned to NFC workflows
• A paid Zapier account
• Accounts in any apps you plan to connect as Zapier actions


Step by Step: Triggering a Zap with Connecteam NFC Events

Each automation in Zapier is called a Zap.
Every Zap includes:

• A Trigger – the event that starts the automation
• One or more Actions – what happens next

In this setup:
• The Trigger is a Webhook Catch Event in Zapier
• The webhook is fired when an NFC tag is scanned in Connecteam


Step 1: Create a new Zap in Zapier

  1. Log in to your Zapier account

  2. Click Create Zap


Step 2: Set Webhooks by Zapier as the Trigger

  1. Click on the trigger block

  2. Search for and select Webhooks by Zapier

In the Setup stage:
• Choose Catch Hook as the trigger event
• Click Continue

Zapier will generate a unique webhook URL. Copy it to your clipboard.

Keep this Zap open—you’ll need this URL in the next step.


Step 3: Create an NFC Event in Connecteam and Paste the Zapier Webhook URL

Open the NFC Events settings in Connecteam

  1. In the Connecteam admin panel, click your admin avatar (top-right)

  2. Go to General Settings

  3. Select NFC Events from the left-hand menu

  4. Click Add NFC Event


Configure the NFC Event

Fill in the following fields:

NFC ID (required)
• Enter the exact ID of the physical NFC tag
• This value is case-sensitive and must match the tag ID exactly
• Use How to set up my NFC if needed

Name (required)
• Choose a clear, descriptive name
• Examples:
• “Main Gate Checkpoint”
• “Warehouse Entry Scan”

Endpoint URL (required)
• Paste the Zapier webhook URL generated in Step 2
• When the NFC tag is scanned, Connecteam sends the event data to Zapier

Secret (optional)
• Add a secret token if your webhook endpoint requires verification

Add successful scan popup (recommended)
• Enabled by default
• Displays a confirmation popup to employees after a successful scan


Save and Test the NFC Event

  1. Click Save

  2. The event will appear in the NFC Events list

To test:
• Scan the NFC tag using a supported mobile device
• Confirm the success popup appears
• Return to Zapier and click Test Trigger

The following data will be returned:

  1. The user ID in Connecteam who scanned the NFC tag.

  2. The NFC ID.

  3. The location name defined in the setup.

Once confirmed, the Zap is actively listening for NFC events 🎉


Step 4: Add Actions in Zapier

After the NFC event triggers the webhook, you can add one or more actions to your Zap.

Click the + button in Zapier to add your first action.

Once an NFC scan triggers your Zap, Zapier can automate actions across thousands of connected apps.


Communication & Alerts

• Send a Slack or Microsoft Teams message when an NFC tag is scanned
• Email a manager when an employee arrives on site
• Trigger an SMS alert for unexpected or off-hours scans


Data Logging & Tracking

• Add a new row to Google Sheets or Excel for every NFC scan
• Log attendance or site visits in a database
• Send NFC scan data to analytics or reporting tools


Scheduling & Operations

• Trigger follow-up tasks when employees arrive at a location
• Update records in external scheduling systems
• Mark jobs or tasks as started based on physical presence


Advanced Automations

• Filter actions by location, employee, or time of day
• Route NFC events differently based on role or job type
• Chain multiple actions from a single NFC scan
