Tracking and monitoring your employees' timesheets can be a tedious and time-consuming processes for organizations to work on. Here at Connecteam, we've set it as our goal to simplify that process and make it as quick and easy as possible so that you can focus your efforts on what matters the most!

Under our Time Clock, you can export your employee timesheets automatically at your preferred frequency. With these automatic reports, you can create specific filters to acquire the information that you want and save time on exporting timesheets manually by sending them automatically to the right personals within your company so you can create a complete automated process easily and quickly.

In this article we will cover how to:

How to Enable Your Auto Reports

In order to enable the ability to create auto reports, simply:

  1. Access your Time Clock and click on "Settings"

  2. Under the settings menu, head over to the "Auto Reports" tab

  3. Here you can either check off one of the existing report templates or select to add another report.

  4. After doing so, you will need to select the following:

    • When to send the report

    • Who will receive the report

    • What export types to include in your report (you can choose all types or even just a single type of export)

  5. Click on "Save Changes". That's it! You've enabled it.

How to Set Your Desired Frequency

In order to set up your desired frequency, simply enter the relevant report under the settings, and select the relevant frequency you desire from these options, as seen below:

  • Select the frequency: daily, weekly, bi-weekly, every three weeks, every four weeks, or monthly.

  • Select the Effective date

  • Select the time you want to receive your report on

How to Enable Weekly Timesheet Reports

In the Auto Reports tab, you have the option to send a weekly timesheet report via email to admins and/or users. To enable or disable this option, simply check or uncheck the box for admins and/or users.

Common Use Cases

Lacking inspiration for auto reports to create? We've got your back!

Here are some examples you could learn and benefit from in order to create your very own auto reports!

  • Send the Timesheets Export every two weeks at 10am to the payroll department's email address

  • Create a filter for specific jobs and automatically send them to clients for invoicing purposes

  • Send the Payroll Totals Export on the last day of each month at 2 pm to the CFO's email address

  • Send Shift Report Export every week, starting from 4/5/2019, to the Branch Manager's email address

Pro tip: make sure to go over the timesheets before the automated report is being sent, in order to make corrections and adjustments if needed, and make sure that all employee requests for changes and absences has been approved or declined, so there are no loose ends.

Please note that our Auto reports capability is available from our Expert plan and above. You can create up to 3 Auto Reports on the Expert plan and unlimited Auto Reports on the Enterprise plan
