If you want to give your employees more flexibility and control over the shifts they’ve been assigned, we have the perfect solution for you!
The Reject and Confirmation options in the Job Scheduler allow your employees to either confirm or reject the shift they are assigned to so that you can keep track of who has confirmed their shift and has committed to showing up to work, and who has rejected their shift so you can assign it to another employee.
This article will cover:
How to Enable Reject and Confirmation Options
To enable the Reject and Confirmation options:
head over to the Job Scheduling feature found in the left sidebar.
Access the relevant Job Schedule and click on Settings at the top right of the page.
In the General tab, scroll down until you reach the options 'Add a reject button to the user's mobile schedule' and 'Add a confirmation button to the users' shifts'.
Enable the relevant option (or both of them), click on Save Changes, and you're done!
How Users Will Be Able to Confirm or Reject Shifts
Once you enable the Reject and Confirmation options in settings, employees assigned to a shift can easily accept or decline it directly from their mobile device. Here’s how:
Enter the Job Scheduling feature found in the top bar, on the main Feed page.
Select the relevant schedule and click on the relevant shift.
At the bottom of the screen, the user will see the option to Reject the shift (in red) or Confirm the shift (in green)
For each option, the user will be prompted to leave an optional note, explaining why they are rejecting the shift, or a general note after confirming the shift.
How Admins Can View Rejected or Confirmed Shifts in the Schedule
As an admin, you can easily see whether a shift has been confirmed or rejected by hovering over the color-coded dot in the corner of the shift. A green dot means the shift was confirmed, while a red dot indicates it was rejected. Hovering over the dot will also display the accompanying note.
You will also be able to view this from the mobile app, by entering the shift from the admin's tab:
Follow Up Actions
For confirmed shifts, you can rest assured knowing the employee has committed to showing up! On the other hand, after determining which of the shifts have been rejected, you can decide whether you would like to cancel the shift altogether, reschedule it, or assign a different user to work this shift:
*The Reject and Confirmation capability is available from the Basic Operations plan*
