How to Customize Shift Fields for Your Business Needs

Understanding how to tailor the details shown in the shift preview in Job Scheduler

In Connecteam, we understand that each business has different needs, and you want your shifts to suit your specific operations. You can now set up shift fields to include the details your business requires—whether it's job roles, locations, or other important information. Customize these fields to fit your unique needs, and tailor how they're previewed when your employees open the Job Scheduler.

How to Set Up Shift Fields

Shift fields are the details included in each shift, such as the shift title, job, location, notes, and more. To set up the relevant shift fields, follow these steps:

  1. Start by heading over to the Job Scheduler found in the left sidebar and access the relevant schedule.

  2. Access the settings and enter the Display tab.

  3. In the Display tab, you'll see the Default fields - these are fields that will always appear for all shifts (Shift Title, Job, Layers, Users, Location, Note). You can also add a Text field and customize these fields to suit your needs.

  1. Under the default fields, you will see the Optional fields, which are fields that admins can add to shifts as needed.

  2. To customize which fields will appear by default for all shifts, simply hover over the relevant field, click on the dotted square and drag it to the Default fields section.

  3. When you're done, click on Save Changes!

Please note that only admins with permission to Edit settings in the Job Scheduler will be able to set up and manage shift fields.

How to Customize and Manage Shift Fields

After setting up the default shift fields in the Job Scheduler settings, they will automatically appear when scheduling a new shift. You can also customize or edit these fields as needed to better fit your team's requirements.

Editing Fields

If you are scheduling a shift and realize you forgot to add a necessary field, simply click on Add field, which would allow you to select one of the Optional fields to include in the shift.

If you notice a field that is no longer relevant and would like to remove it while scheduling a shift, simply hover over it and click on the 'x' icon.

Customizing Fields

By clicking on Manage fields you will be directed to the Display tab in the Job Scheduler settings, where you can rearrange and customize the default fields, and add any additional fields if needed.

On the user's end, they will be able to view all selected fields within their shift.

What are Shift Previews?

The shift preview is what admins and users see when browsing through shifts in the schedule, before opening a specific shift. In the Job Scheduler settings, you can customize which fields appear in the shift preview — both for admins managing the schedule on the desktop platform and for users accessing it through the mobile app.

How to Customize and Manage Shift Preview

  1. Start by heading over to the Job Scheduler found in the left sidebar and access the relevant schedule.

  2. Access the settings and enter the Display tab.

  3. Enter the Shift Previews tab. You can choose what is displayed on the dashboard in View by Users or View by Jobs, as well as what is displayed on the mobile app.

  4. By default, the details that will appear in the shift preview are the shift hours, shift title and job nameTo change one of these fields, simply click on it and select a different option from the list.

  5. To change the order of the fields, click on the grid icon and drag it to the desired spot.

  6. In order to see an indication that one of your selected fields has not been filled out inside the shift, make sure to tick the option Show unfilled fields in shift preview, in the Job Scheduler settings. This will present all the unfilled fields for admins to fill out.

Please note that only admins with permission to Edit settings in the Job Scheduler will be able to customize the shift preview.

What Does This Look Like on the Schedule for Admins?

Admins will be able to view the new shift preview in the weekly or daily view in the Job Scheduler.

This is what the schedule looks like when changing the order so that the job appears first, the shift name second, and the shift times last.

Daily View

What Does This Look Like on the Schedule for Users?

Users will be able to view the selected fields in the shift preview by accessing their Job Schedule from the mobile app, while viewing their shifts.
