Learn how to add shifts to your team's schedule

The Job Scheduler makes it effortless to create shifts or dispatch jobs for your team. It includes a variety of ways to create new shifts, so you can find the easiest way for you according to your business’s needs.

In this article, we’ll go over:

Adding a single shift

There are two options to create a single shift:

  1. Enter the relevant Job Scheduler.

  2. Click on Actions.

  3. Click on Add single shift.

or

  1. Enter the relevant Job Scheduler.

  2. Hover your cursor on the user, job, or layer’s row on the day you need. Learn more about the different view options.

  3. Click on the + button.

When creating a shift, you can fill out the following information*:

  • Date: Choose the date that the shift is scheduled for. If you’re creating a shift by clicking on the + in the schedule, it will fill out the date automatically based on the date chosen.

  • Start and end time: When the shift starts and when it ends. If you choose to make it an 'All day' shift, the start and times will get greyed out. All day shifts take the times set in your Week and Time Settings.

  • Set it as a repeating shift: Repeating shift are shifts that are part of a series and repeat based on a selected frequency. Learn more about repeating shifts.

  • Time zone: Choose the right time zone for the scheduled hours. Learn more about working with time zones here.

  • Shift title: Give the shift a name. It can be the name of a client, location, or type of shift, anything you need for users to properly identify the shift.

  • Job: Select a job or sub-job from the list. By adding a job, you can alter the shift’s qualifications, ability to track time, and auto-populate other fields. Learn more about jobs.

  • Color: Change the color of the shift to make it easier to tell shifts apart.

  • Layers: Select a layer from the list for additional information. Learn more about layers.

  • Users: Assign users to a shift and determine who will get the job done. By adding multiple users to a shift, you can turn it into a group shift. By choosing ‘Enable users to claim this shift’, you can make the shift into an open shift.

  • Location: Type in the location of the shift. On the mobile app, users can click on the location link and navigate to it using Google Maps or Apple Maps.

  • Note: Add any important information for the shift and attach images, files, or shortcuts.

  • Shift tasks: Add a list of tasks to get done while the user’s on the job. Learn more about shift tasks.

*The fields you can edit depend on the plan you have.

Once you fill in this information, you can publish it instantly or save it as a draft to publish later. You can also choose to scrap it by clicking the trash can icon or save it as a template.

Adding multiple shifts

Instead of creating a shift one-by-one, you can create multiple shifts at once, all on the same screen.

To create multiple shifts:

  1. Enter the relevant Job Scheduler.

  2. Click on Actions.

  3. Click on Add multiple shifts.

Here, you have all the information you had in the shift modal but now it’s organized in a table view, which will be easier for scheduling shifts in one go.

Importing shifts from Excel

If you have many shifts to add, you can add them all by importing them in bulk using an Excel (CSV) file. Check out our guide on importing shifts by clicking here.

Adding shifts from a template

To avoid creating new shifts every time, you can simply load your customized, pre-made templates where you need them. This is a great way to save time and energy when planning a schedule. To learn more about shift templates, click here.
