How to Utilize the Jobs View

Learn how to get the most out of the Job Scheduler

At Connecteam, your Job Scheduler is your go-to for keeping track of who is working which job and when. We want you to be able to view your schedule in a way that’s most convenient for you, and for this reason, we created different viewing options. The Jobs view allows you to see the schedule by jobs, with the jobs displayed on the right-hand side of the schedule. This option helps you make sure all jobs get allocated shifts, and it helps you find gaps in job assignments.

How to access the Jobs view

The Jobs view is one of the three views Connecteam offers to work with your schedule.

To access the Jobs view:

  1. Go to your Job Scheduler

  2. Click on View Options

  3. Choose ‘View by jobs’

In this view, you’ll see the jobs lined up on the left-hand side of the schedule. In addition to quick actions that are found in other views, the Jobs view offers some unique capabilities such as changing the order of jobs and assigning users to shifts.

Reordering jobs

The list of jobs that you see can be manually re-arranged. For example, you can re-arrange it based on order of priority or alphabetically.

To rearrange the job order:

  1. Click on Jobs.

  2. Hover over a job.

  3. Drag and drop the job into the desired location on the list. The changes that you make in this window will apply to the schedule.

Assigning users to shifts

In the Jobs view, you have the option to drag and drop users onto shifts to assign them. This will allow you to do dispatching easier and faster.

Click on the Users tab on the right-hand side of the schedule, and you’ll see all users assigned to the schedule.

You can determine which users to assign based on their marked availability. If users have marked ‘prefer to work’, that day of the week will be marked in green. If users have marked ‘unavailable’, the day will be marked in red. If a user is already assigned to a shift, the day will be marked in blue. Hover over each day of the week to view more information about their available or unavailable times.

Drag and drop the user onto a shift in the schedule to assign them to that shift. Keep in mind that you first need to add a shift to drop and drop the user to the schedule.

When adding another user to a shift that has already been assigned to a user, you can choose to either add the user to the shift (and make it into a group shift) or switch the user assigned to the shift.

You can also use the filter option to narrow down the list of users to work with the users you need. For example, only see users who are qualified for the job you need to dispatch for, filter for ‘Qualified users for’. Or, prioritize users who marked prefer to work on a certain day and get them scheduled first. Filter for ‘Prefer to work’ and choose the day of the week. The possibilities for filtering are endless. Schedule Quick Actions

In the schedule, numerous quick actions can help you speed up scheduling. Here's a breakdown of which actions are available in the Jobs view.

When clicking on Actions, you can take the following actions:

  • Copy previous week

  • Clear week

  • Unpublish week

  • Unassign week

  • Export week

  • Print week

  • Save week as template

  • Load week template

When clicking on the three dots next to the job name, you can take the following actions:

  • Select all shifts

  • Publish shifts

  • Copy previous week

  • Copy shifts from job

  • Unpublish shift

  • Clear week

When clicking on the three dots on a shift, you can take the following actions:

  • Select

  • Assign users

  • Allocate job

  • Duplicate

  • Multi-duplicate

  • Unassign users

  • Publish

  • Delete
