From planning to distribution to employee communication, Connecteam’s scheduling app makes everything simple, quick, and intuitive. Simplify your scheduling with quick actions like duplicating shifts, sorting users, dragging and dropping, and more.
Once you have created a schedule and set up the different jobs in it, here are a few actions and tips for you to speed up your scheduling.
What are Quick Actions and Where Can I Find Them?
Quick Actions let you perform certain actions in bulk (or quickly on a specific item) directly from the schedule.
Depending on what you’re trying to do and which schedule view you’re using, you can find Quick Actions in one of these places:
The Actions tab (top-right of the schedule, in some views)
The three-dot (⋯) menu:
Next to a date
Next to a shift
Next to a user’s name
To open a three-dot menu, hover over the relevant date/shift/user and click ⋯.

Daily Quick Actions
Use Daily Quick Actions to take action on all shifts in an entire day.
Where to find them
Open your schedule in Weekly view.
Hover over the date you want to edit.
Click the three dots (⋯).
Select the action you want from the menu.
Weekly Quick Actions
Use Weekly Quick Actions to take action on all shifts in a week.
Where to find them
Open your schedule in Week view.
Click Actions in the top-right corner.
Select the action you want from the menu.
Monthly Quick Actions
Use Monthly Quick Actions to take action on all shifts in a month.
Where to find them
Open your schedule in Month view.
Click Actions in the top-right corner.
Select the action you want from the menu.

Use Shift Quick Actions to take action on one shift.
Where to find them
Open your schedule in Day view or Week view.
Hover over the shift.
Click the three dots (⋯) on the shift.

The Top Quick Actions & Tips
Since there are many Quick Actions you can use, here are the most useful and time-saving options.
Keep unassigned shifts visible while scheduling
When viewing schedules, you can keep Unassigned shifts visible at the top of your screen while scrolling through your team’s weekly schedules.
In the schedule, locate the Unassigned shifts row.
Click the snowflake icon on the left to freeze the row.
Scroll through your schedule while keeping unassigned shifts visible.
To unfreeze the row, click the snowflake icon again.
Sort users
You can sort users in the sidebar so they appear in the order you need.
Open your schedule in Week view or Day view.
Click the Sort icon.
Choose a sorting option.
Sorting options are based on the user profile fields set up in your account (for example: branch, department, role, direct manager, etc.). You can also sort users alphabetically by last name by selecting Last name.
Sort jobs
You can sort (re-order) jobs so that when you view the schedule in Jobs view, jobs appear in the most practical order for your workflow.
Open your schedule and click Jobs.
In the jobs modal, click the three dots (⋯) at the top-left.
Choose how to sort jobs:
Alphabetically
By creation date
Custom order
Duplicate & multi-duplicate shifts
You can duplicate a shift once—or create multiple duplicates in one action.
Open your schedule in Weekly view.
Click the three dots (⋯) on the shift.
Select Duplicate or Multi duplicate.
Duplicated shifts stay in Draft until you publish them.
Important: This option is available in Weekly view only (not available in Monthly view).
💡 Tip: You can duplicate even faster by holding Option ⌥ on your keyboard and then dragging and dropping shifts where you need them.
Copy an entire day, week, or month’s shifts
If your schedule repeats (or needs only minor changes), you can quickly build it by copying shifts from a previous period.
Go to the relevant view:
Daily
Weekly
Monthly
Change the dates to the period you want to schedule.
Use the relevant Quick Actions menu to copy shifts from the previous period.
Copy shifts for a specific user
If you want to copy shifts for only one user, use User Quick Actions.
Hover over the user’s name and click the three dots (⋯).
Select the option to copy shifts (for example, copy from the previous week).
Copy shifts from one user to another
If you created the perfect schedule for one employee and want to copy it to another employee, you can do that from User Quick Actions.
Hover over the user you want to schedule and click the three dots (⋯).
Select Copy from user.
Select the user whose shifts you want to copy.
Select multiple shifts (and select day/week)
If you need to update multiple shifts at once, you can use multi-select.

Hover over a shift and click the three dots (⋯).
Click Select.
Click the shifts you want to include.
Select all shifts for an entire day
Open the Daily Quick Actions menu.
Click Select.
Select all shifts for a specific user during the week
Open User Quick Actions.
Click Select.
Clear week
If you need to remove all shifts from a specific week and start scheduling from scratch, use Clear week.
Open your schedule in Week view.
Click Actions.
Select Clear week.
All shifts will be removed from that week, and you can start over.
Edit multiple shifts at once
After selecting multiple shifts, you can edit them together.
Select the shifts you want to update (using Select).
Click Actions.
Click Edit selected shifts.
Update the relevant details, such as:
Date
Time
Timezone
Title
Job
Assigned user
And more
Click Confirm edit to save your changes.
Assign shifts to a Smart Group
Instead of assigning users one by one, you can assign a shift to an entire Smart Group.
Create or edit a shift.
In the assignment field, start typing the Smart Group name (or a value from your user custom fields).
Select the relevant group from the list.
Click Select All to add all matching users to the shift.
Assign shifts by jobs first
Sometimes it’s easier to create shifts based on the jobs that need coverage, and assign employees later.
Assign from the shift
Create the shifts you need (without assigning users).
Click the three dots (⋯) on a shift.
Assign the shift to an employee.
Assign from Jobs view
Open Jobs view.
Drag and drop an employee from the user sidebar onto a shift.
You can also see whether an employee already has a shift on another date, and which shift it is.
Publish a specific user’s shifts, a group of shifts, or all shifts
Managers often build schedules in parts (by department, job, or even by one employee). You can publish in a few different ways depending on what’s ready.
Publish a specific user’s shifts
To publish all draft shifts for one user:
Hover over the user’s name and click the three dots (⋯).
Select Publish shifts.
Publish a group of shifts
To publish only specific shifts (for example, one job, one department, or evening shifts):
Apply a filter to display only the shifts you want to publish.
Click the blue Publish button at the top-right.
The Publish button updates to show the number of shifts included in your current filter.
Publish all shifts
To publish all draft shifts currently in view:
Go to the view you want to publish from (for example, Weekly view).
Make sure you did not apply filters (if you want to publish everything in that view).
Click the blue Publish button
Start a shift-based chat
You can start a chat directly from a day’s shifts to improve communication and coordination.
You can start either:
A team chat with all employees working that day, or
An individual chat
To start a shift-based chat
Click the three dots (⋯) on a specific day, or open the Actions menu in Day view.
Select the option to start a chat.
Choose whether to start a team chat or an individual chat.

What happens after I duplicate a shift?
Duplicated shifts are created in Draft status and won’t be sent to employees until you click Publish.
Can I duplicate shifts in Monthly view?

No. Duplicate and Multi duplicate are available in Weekly view only (not in Monthly view)
An Admin Who Has Admin Permission to Only One Smart Group (Not the All Users Groups) Clicks on "Clear Week" in the Job Schedule, Will this Clear the Week for All Users?
An Admin Who Has Admin Permission to Only One Smart Group (Not the All Users Groups) Clicks on "Clear Week" in the Job Schedule, Will this Clear the Week for All Users?
It won't clear the week for all the users in the account, it will only clear the week for the users they administer.
If an admin has admin permission to a specific smart group, which is not the All User's group, and he clears the week in the Job Schedule feature, the week won't clear for all the users in the account. The week will be cleared ONLY for the users that he is the admin of in the specific smart group.
