Your step-by-step guide to integrating with MYOB Business

Conducting payroll can be one of the most tedious and time-consuming processes for organizations. In this article, we will walk you through the key steps to streamline your payroll with MYOB Business.

What you need to do before using the export

In Connecteam:

In MYOB:

  • Set up the employees.

  • Set your employee to hourly. Connecteam only exports timesheet details for hourly users.

  • Set up the pay items.

  • Turn on timesheets in your payroll settings.

  • Ensure the payroll period in MYOB matches the payroll period in Connecteam.

Setting up your export

Step 1: Set up the connection between Connecteam and MYOB

  • Click on the Settings tab in the time clock, scroll down, and click on Integrations in the sidebar.

  • Navigate to MYOB Business and click on Connect.

  • Enter your MYOB serial number to select the required business to connect to.

    • To see your serial number, sign in to MYOB and click your business menu in the top-right corner.

  • You will be redirected to MYOB to approve the connection on their side.

  • Once the connection has been made successfully, click on Continue to setup to begin setting up the integration.


Step 2: Match Connecteam users with MYOB employees

  • First, you will see the result of our auto-matching.

  • If all users are matched, press Continue to move forward.

  • If a user was auto-matched incorrectly, you can change this manually.

  • If you don't want a user to be included in the integration, you can select Don't include.


Step 3: Match Connecteam pay rules with MYOB pay items

  • The default state of the integration is to export the timesheet based on the standard hourly pay rules: the working hours of each employee will be assigned as Weekday, Saturday, Sunday, and Public holiday.

  • You can choose to add overtime and double overtime pay rules for each standard pay rule.

    • Multiple 1.5x overtime rules will be aggregated into the OT (1.5x) pay rule.

    • Multiple 2x overtime rules will be aggregated into the Double OT (2.0x) pay rule.

  • If you don't want a pay rule to be included in the integration, you can select Don't include.


Step 4: Match Connecteam jobs (and sub-jobs) with MYOB jobs

  • Decide how to export working hours from Connecteam. There are three options:

    • Don't include jobs: Exports only the standard hourly pay rules, overtime (multiplier 1.5x), and double overtime (multiplier 2.0x) and disregards any job-related information.

    • Export hours by job: Provides a breakdown of the standard hourly pay rules, overtime (multiplier 1.5x), and double overtime (multiplier 2.0x) for each job.

    • Export hours by job and sub-job: Provides a breakdown of the standard hourly pay rules, overtime (multiplier 1.5x), and double overtime (multiplier 2.0x) for each sub-job, and for jobs without sub-jobs.

  • If you selected to include jobs, set the matching MYOB jobs for each job (or sub-job).

  • If you don't want a job to be included in the integration, you can select Don't include.


Step 5: Match Paid Time Off (PTO) policies

  • Set the matched MYOB pay item for each Connecteam PTO policy.

  • If you don't want a policy to be included in the integration, you can select Don't include.

  • When you are finished, click on Complete setup.

  • After closing the setup confirmation modal, make sure to click on Save changes in the Integrations setting page to save all the changes.

Export timesheets to MYOB Business

  • Head to your time clock, to the Timesheets tab, click on Export, then click on Export to MYOB.

  • The export is based on the selected date range and selected employees in the timesheet. Employees can be filtered out if needed.

  • Once you have exported, you will see a success message.

  • If the export was not completed successfully, you will see the errors and descriptions on how to fix them.

Next steps in MYOB

  • Great, now that you have successfully exported to MYOB, you will need to check that the hour units for every pay item have synced to your employee timesheet in MYOB.

    • To do so, go to MYOB Timesheets page (Payroll menu > Timesheets > choose the Employee and applicable Week). If needed, you can update and save the timesheet details here and they'll be ready to include when you do a pay run.

How to update the integration setup after you added new items

  • As your company grows and changes, you will likely add new items, such as new users, jobs/sub-jobs, or PTO policies. Before these items can be exported to MYOB, they need to be matched. To do this:

    • Enter the time clock, click on Export, find the Export to MYOB option, and click on the settings icon.

    • Match the new items and press Complete setup.

How to disconnect the MYOB integration

  • If you need to disconnect the integration, follow these steps:

    • Head to the Time clock, click on Settings, enter the integrations tab, and click on Disconnect.

Frequently asked questions

With which MYOB plans does the integration work?

  • The integration is based on the MYOB Business API and works with AccountRight, Essentials, and MYOB Business.

Can I connect more than one time clock to my MYOB business?

  • Yes, but all time clocks should be connected to the same MYOB business.

Can I connect multiple MYOB businesses to a one time clock?

  • No, a time clock can only be connected to one MYOB business. This prevents you from accidentally running the same payroll in two places and potentially overpaying your employees.

What happens if I export the same payroll period twice?

  • The hours you export from Connecteam will always overwrite your hours in MYOB.

When I click on Export to MYOB I receive an error from Connecteam telling me that I have unmatched items. What does it mean and what should I do?

  • This likely means that you have made changes to your Connecteam account since setting up the integration.

  • It’s possible that you have added new users, jobs / sub-jobs, or PTO policies.

  • You will need to match these items prior to exporting the data.

    • To do this, simply click on the `Resolve now` button, match the items, and click, `Continue`.
