Starting Guide To Creating Shift Series in the Schedule

Learn how to set up a Shift Series for trainings, courses, and multi-day events

Shift Series lets you group related shifts and manage them as a single, connected flow, even when each shift is different. It is built for schedules that share a purpose but vary from one shift to the next, such as training programs, courses, and multi-day events. The simplest way to decide: if every shift repeats exactly the same way, use Repeating Shifts; if the shifts are connected but different, use a Shift Series. Shift Series is available on the Advanced plan and above (Operations Hub).


When to Use Shift Series

Use Shift Series when your shifts are connected by purpose, not by repetition. They are a great fit for:

  1. Training programs with changing times or trainers.

  2. Courses that run across different days or locations.

  3. Multi-day events with different roles or instructions.

If every shift repeats in exactly the same way, use Repeating Shifts instead. To learn more about identical, recurring schedules, check out our guide on creating repeating shifts.


Creating a Shift Series

You create a Series directly from the Schedule.

  1. Go to your Schedule.

  2. Click Add.

  3. Select Add Shift Series.

  4. On the first page, enter the:

    • Series name

    • Description

  5. Next, choose how you want to create the series:

    • Set a pattern

    • Set dates manually


Set a Pattern

Use this option when your shifts follow a general structure, even if some shifts will be adjusted later.

  • Set the Start date and End date

  • Choose the Repeat pattern

  • Select which days the shifts apply to

  • Set the shift time(s)

  • Create a default shift to apply across the series

Please note: You can customize individual shifts later.


Set Dates Manually

Use this option when each shift occurrence is unique from the start.

  • Choose how many shifts will appear in the series

  • Click Next

  • Create a default shift to apply across the series


Review and Customize Shifts

In the Review Shifts step, every shift can be configured individually, regardless of which creation method you selected.

From here, you can:

  • Add each shift occurrence manually

  • Update shift details individually

  • Bulk select shifts

  • Bulk edit selected shifts

  • Move shift dates

💡 Tip For single shifts, you can Copy or Delete the shift from the right-hand side.


Publish or Save as a Draft

At the end of the setup, choose what happens next:

  • Save as draft

  • Publish

  • Publish and notify users


View a Series in the Schedule

In the schedule, shifts appear like regular shifts. When you open a shift that belongs to a series, you’ll see:

  • The Series name

  • The shift’s position in the series (for example, 1/24)


Edit or delete one shift in a series

You can update a single shift without impacting the rest of the series.

Each shift in a series can be managed individually, including:

  • Editing shift details

  • Changing assigned users

  • Updating times or locations

  • Deleting a single shift

The rest of the series remains unchanged.

Editing The Full Series

To manage all shifts in a series from one place, open any shift within the series and select Edit series.

This opens a single view where you can see all scheduled dates together. From here, you can update the details across the entire series in one screen, instead of editing each shift individually.


Using Schedule Actions on Series Shifts

Series shifts can still be managed using regular schedule actions.

However, some actions create standalone shifts that are no longer connected to the original series.

For example:

  • Duplicating a shift from the schedule creates a new standalone shift

  • The duplicated shift will not remain connected to the Series

  • Changes made to the Series will not apply to duplicated standalone shifts

This helps admins make one-off schedule adjustments without affecting the original series structure.

Frequently Asked Questions

Does Shift Series replace recurring shifts?

No. Recurring shifts are still best for identical, repeating schedules. Shift Series is designed for connected schedules that may change.

Can shifts inside a series be different?

Yes. Each shift can have different times, locations, assigned users, and details.

What happens if I edit one shift?

Only that shift is updated. The rest of the series stays unchanged.

Can I update all shifts at once?

Yes. You can apply bulk changes across the entire series.

Will users know the shifts are connected?

Yes. Shifts are visually grouped so admins and users can clearly see they belong together (including the Series name and the shift’s number in the series).
