Activate and manage the employee's digital employee card

Traditional physical employee cards are costly, inefficient, and vulnerable to security risks. Our digital employee card addresses these challenges by reducing production costs, enhancing security, and driving app engagement. Benefits of our Digital Employee Card

  • Streamlined Identification: Quickly access secure areas and systems through QR code scanning or by showing your employee card (e.g., employees can scan to enter the office or show their digital employee card to security).

  • Improved Efficiency: Simplifies processes like time tracking and event attendance (e.g., employees can quickly scan their cards at events to check in), saving time for both employees and event managers.

How to Activate the Employee Card

To activate the employee card:

  1. Log in to the admin dashboard

  2. Access the Users section from the left sidebar

  3. Click on Manage User Details

  4. Click on the Employee Card and toggle it on

  5. All done - users now have access to their digital employee cards!

Please note: it's not possible to activate the employee card for a select group of users only. Once the capability is toggled on, it will be activated for all users. 

If needed, you can always deactivate the employee card by following the steps detailed above and toggling off the capability. 

 

Customizing the Employee Card

Now that you've learned how to activate the employee card, it's time to customize it by (1) choosing what information is displayed on the card and (2) activating and setting up a QR code

Adjust the Information Displayed

By default, the employee card displays the company logo, the employee's full name, the employee's profile picture, the card's activation date, and quick access to the QR code (if activated by admin, which we'll discuss in the next section). In addition, admins can customize two more layers of information. 

In these layers, you can add a user profile field of your choice. However, please note that only profile fields that are not dropdowns are available for selection. In the example below, we’ve added the employee's title to the first information layer and their birthday to the second.

*The ability to choose what information/field is displayed on the employee card is only available from the Advanced plan and above, under any hub*

Add a QR Code

Including a QR code on the employee card offers seamless and secure access to essential digital resources. Employees can quickly clock in and out, unlock office doors, redeem discounts, and perform other actions with a simple scan. This not only streamlines everyday tasks but also enhances efficiency, security, and convenience, reducing the need for manual processes and physical access tools. 

There are two options available:

  1. User-specific QR code: This type of QR code shows information that is unique to each user. You can select which user profile field will be displayed. Please note that only profile fields that are not dropdowns are available for selection. For example, when a user scans this QR code, it might display their job title or company email for instance.

     

  2. General QR code (same for all users): This type of QR code shows a single piece of information of your choice that is the same for everyone. For instance, it could display the company name or another general value that applies to all users. This is useful when the QR code doesn't need to be personalized for each individual but is meant to give a unified value for all.

How Users Access Their Employee Cards

Enhancing the employee experience means making employee cards and QR codes easily accessible. Upon logging into the mobile app, users can navigate to the Profile tab, where their employee card will appear at the top. If the QR code is set up, they can tap on it for instant access whenever needed.
