Tracking and monitoring your employees’ timesheets can be a tedious and time-consuming process for organizations. Here at Connecteam, we’ve set it as our goal to simplify that process and make it as quick and easy as possible, so you can focus your efforts on what matters most.
Under your Time Clock, you can export your employee timesheets automatically at your preferred frequency. With these automatic reports, you can create specific filters to capture exactly the information you want, and save time by sending them automatically to the right personnel within your company, creating a complete, hands-off process.
How to Enable Your Auto Reports
To enable and create an auto report, follow these steps:
Access your Time Clock and click on Settings.
Under the settings menu, go to the Auto Reports tab.
Check off one of the existing report templates, or select Add Report to create a new one.
Configure the report by selecting the following:
When to send the report
Who will receive the report
Which export types to include (choose all types, or just a single type of export)
Click Save Changes. That’s it, your auto report is enabled.
How to Set Your Desired Frequency
To set your desired frequency, open the relevant report in the settings and choose from the available options:
Select the frequency: daily, weekly, bi-weekly, every three weeks, every four weeks, or monthly.
Select the effective date.
Select the time you want to receive the report.
Once your auto report is set up, your recipients will receive it automatically at the schedule you chose.
How to Enable Weekly Timesheet Reports
In the Auto Reports tab, you can send a weekly timesheet report by email to admins, users, or both. To enable or disable this option, check or uncheck the box for admins and/or users.
Common Use Cases
Looking for inspiration for the auto reports to create? Here are some examples to help you build your own:
Send the Timesheets Export every two weeks at 10:00 AM to the payroll department’s email address.
Create a filter for specific jobs and send them automatically to clients for invoicing purposes.
Send the Payroll Totals Export on the last day of each month at 2:00 PM to the CFO’s email address.
Send the Shift Report Export every week, starting from the beginning of next month, to the Branch Manager’s email address.
💡 Tip: Go over the timesheets before the automated report is sent, so you can make any corrections and adjustments, and make sure all employee requests for changes and absences have been approved or declined, leaving no loose ends.
Auto Reports are available on the Operations Hub Expert plan and above. On the Expert plan, you can create up to 3 Auto Reports per Time Clock. On the Enterprise plan, you can create unlimited Auto Reports.
FAQ
Which plan do I need for Auto Reports?
Auto Reports are available on the Operations Hub Expert plan and above. The Expert plan allows up to 3 Auto Reports per Time Clock, and the Enterprise plan allows unlimited Auto Reports.
What happens to my Auto Reports if my plan changes?
If your plan changes and a Time Clock has more active Auto Reports than the new plan allows, the extra reports are automatically deactivated. Your report configurations are kept, so if you upgrade again you can re-enable them without setting them up from scratch.
Who can receive an auto report?
You choose the recipients when configuring the report. Recipients can be admins, users, or any email address you add, so you can send timesheets and payroll reports straight to payroll, finance, or an external contact.
Can I include more than one export type in a single report?
Yes. When configuring the report you can include all export types or just a single type, depending on what each recipient needs.
