Yes! You can share a copy of your schedule with anybody you want via email. We offer two methods to achieve this: the Print Week and the Schedule Shareable Link.
Let's explore these below and understand when it's best to use each!
Option 1: Print Week
The Print Week capability is ideal when you need to share a general overview for a specific week of your schedule. You can print it in the view by users, jobs, or layers, which provides more flexibility to fit your needs. Recipients will be able to get a clear understanding of the shifts that each user is working, the jobs that are getting done that week, or the layers (iPads, trucks, etc) being used.
Look at the examples illustrated below of the print week capability in each weekly view.
Users View
Jobs View
Layers View
You can even customize it to include more information like the time off, shifts that are on draft or unassigned, add more user profile details, and more.
To move forward with this option, print your week and share it via email with someone:
Access the schedule
Adjust the date range to navigate to the specific week you want to share. Feel free to click on Filters and narrow down the schedule view to certain shifts or users you need.
Then click the Actions button on the top right and select Print week.
Customize the printed week and, finally, Download it.
Please note: the option to print the schedule is available only on the weekly view. On the daily and monthly view, you can export the schedule.
Your week will be exported as a PDF file. You can attach it to any email and send it to third parties!
Option 2: Schedule Shareable Link
The Schedule Shareable Link capability is ideal when you need someone to access your weekly schedule more consistently without you needing to send it to them every week. With the schedule shareable link, they can browse through past and upcoming weeks, click on shifts to view their details, tasks, and progress, and even filter for specific users if they need to. Currently, it's only possible to generate a link for the weekly view by Users. The weekly view by jobs and layers will be available in the future.
To move forward with this option, create a schedule shareable link and send it to somebody via email:
Access the schedule
Navigate to the Actions button at the top right and select the option Share schedule. A pop-up will appear for you to customize your link:
Please add a link title
If you want to control which type of shifts/users are displayed, click on Edit Filters and make your selection.
Once you've customized it, click on Generate link and Save link .
Copy the link.
Write your email, paste the schedule shareable link, and send it to anybody you need. All done!
*The Print Week capability is available from the Basic plan under the Operations hub, and the Shareable Schedule Link is available from the Advanced plan under the Operations hub*
