How to create tasks for a team to get done

Quick Tasks allow you to control and manage your day-to-day one-off tasks, recurring tasks, and projects. Within the Quick Tasks feature, Group Tasks are a great way to promote team collaboration and communication, as well as increase efficiency and productivity. Group tasks allow you to assign the same task to multiple team members. They can see who is with them on the task and it can be marked as done by any of the team members.

How to Create a Group Task

  1. Access the Quick Tasks feature.

  2. Click Add Task.

  3. Choose whether to create a single task or multiple tasks.

  4. In the 'Assign to' field - choose multiple users or choose a smart group.

  5. If you create a single task, make sure to choose the option 'Group task'.

  6. Add additional details and click Publish task.

In the example below, I created a task called 'Organize the stockroom' and I want to assign it only to my assistant managers. Once I choose the 'Assistant Managers' smart group, all users in that smart group will get assigned to this task.

How Group Tasks Appear for Users

On the mobile app, users will see which users are assigned to the group task.

Any of the users assigned to a group task can mark the group task or the sub-tasks as done. They will also see which assigned user has marked the task as done.

How to Work with Group Tasks as an Admin

On the admin's side, you'll see which user marked it as done. By hovering over the sub-task, you can see which user marked it as done and at what time.

If an admin edits, restores, or deletes a task, all users assigned to the task will receive a notification explaining this.
