The Quick Tasks feature enables you and your users to control and manage tasks, which may sometimes contain personal or confidential information. To ensure that only qualified admins can view or manage user's tasks, you can set specific admin permissions to control access to the feature.
If you are new to Connecteam, we recommend you read more about the Manager Permissions to get a better understanding. Before going over how to assign the admin permissions let's go over a few basic things that make the Quick Tasks feature unique.
This article will cover the following:
Where Tasks Can Be Created From
Tasks can be created from four different places: (1) the admin dashboard, (2) the admins tab, (3) the user desktop, and (4) the mobile app. Let's understand this a bit further.
Admin Dashboard - as an admin with permissions to the quick task feature, you can create tasks from the desktop, you should simply access the feature and click on "+ Add Task", then choose to create a single or multiple one, write its details, then assign it and publish it to users.
Admin tab - as an admin with permissions to the quick task feature, you can create tasks from the mobile app by accessing the "Admin" tab on the bottom far right corner, then navigate to the "quick access" section and click on "New task" to create a new task for one of your users.
User Desktop - users can create new tasks for themselves and other users from the desktop by accessing the quick tasks feature and clicking on "Add a new task".
Mobile App - users can also create new tasks for themselves and other users from the mobile app by accessing the quick tasks feature and pressing on "Create task".
When Do I Need to Give Admin Permissions to the Tasks Feature?
You only need to grant admin permissions to the Quick Tasks feature if you want certain admins to view and manage all tasks across the company using the All Tasks tab. This centralizes task management and ensures comprehensive oversight for admins with permission to it. We will discuss this in more detail later on in this article.
User Permissions vs Admin Permissions
Before we dive deep into the admin permissions for the Quick Task, it is important to remember that admins exist on the platform as both admins and regular users. Generally speaking, the Quick Tasks feature allows both users and admins to create tasks.
Therefore, let's first understand the user permissions for quick tasks, and how they affect the admin permissions. This will help you set up the feature's permissions in the way that best meets your company's needs.
Access the Quick Tasks feature from the left sidebar, then click on Options, then Settings, and make sure you are on the General tab, where you will find the following options:
"Only admins can create tasks for users"
"Allow only the mobile users designated in the list below to create and assign tasks to other users"
"Allow all users to create and assign tasks to other users unless they are listed in the list below"
You can learn more about each of these three options here.
Please note: regardless of which of these options you choose, all existing admins on the platform will be able to create tasks from their user view (the user desktop and mobile app) for the employees that they manage. That being said, they can not create tasks from their admin dashboard or the admin tab without permissions to the Quick Tasks feature and they cannot manage company tasks created by other admins without permissions to the All Tasks tab.
How to Set Admin Permissions for Quick Tasks
You can set admin permissions for (1) the Quick Tasks feature itself and (2) for the All Tasks tab within the feature. An admin can have permissions only for the feature and not for the All Tasks tab, which includes all the copmany's tasks within the account.
Let's take a closer look at how to do each of them!
Setting Permissions for the Quick Tasks Feature
To set the Quick Tasks permissions from within the feature itself, follow the next steps:
Access the Quick Tasks feature from the left sidebar
Navigate to the top right corner and click on the admin permissions section
A new modal will open on the right side of your screen where you can choose which admins have permissions over the quick tasks feature. You will find the following two toggles, which you can enable or disable to fit your needs:
Automatically add all admins to this category - this will make sure that all existing and new admins on the account have permission over the quick tasks
Admins can add other admins to this category - this will allow admins who have permissions over quick tasks to be able to give other admins permissions.
Then, if the option a (mentioned above) is disabled, make sure to manually select which specific admins will have permissions over the feature
Setting Permissions for the All Tasks Tab
To set permissions for the All Tasks tab the same principles explained above apply. Follow these steps to learn how:
Once you are in the Quick Tasks feature, click on the All Tasks tab
Then click on the admin permissions from the tab itself
A new modal will open on the right side of your screen where you can choose to enable or disable the following two toggles:
Automatically add all admins to this category
Admins can add other admins to this category
Then, if the option a (mentioned above) is disabled, make sure to manually select which specific admins will have permissions over the feature
All done! You have now ensured that only qualified admins have permission to view this tab.
Reminder: even if an admin has permissions over the quick tasks feature, and will therefore see the All Tasks tab, they will only be able to see the tasks of those users they have permissions for.
*The ability to set permissions for the All Tasks tab is only available from the Advanced Operations Hub Plan and above*
