Conducting payroll can be one of the most tedious and time-consuming processes for organizations. At Connecteam, we have made it our mission to simplify that process and make it as quick and easy as possible so that you can focus your efforts on what matters the most. In this article, we will walk you through the key steps to streamline your payroll by exporting timesheets from your Connecteam Time Clock to ADP Run by downloading an ADP Run formatted timesheet CSV file.
Before we get started, let’s go over what will be exported so you can make sure this is relevant to you!
What Is Exported
CAN be exported | CAN NOT be exported |
Regular hours, Time & half, and Double Time | Overtime that is not a multiplier of 1.5X or 2X |
Sick Leave |
|
Paid Time Off (PTO) |
|
Now, let's jump into the steps of how to create this file, and conduct payroll!
What You Need to Do Before Using the Export
Below is a list of things that you should do before using the export:
Ensure that you created a user custom field in Connecteam that represents the ADP employee ID and that all employee IDs are entered.
Make sure to have already set up your overtime policies in Connecteam.
Make sure to have already set up your time off policies in Connecteam.
On ADP, to use this feature, the Time Sheet Import must be selected on the Company > Features Overview page.
Setting Up Your Export
Step 1: Click on Export and Click on Discover Integrations
Step 2: Open the time clock integration settings tab and click on Set Up ADP Run
Step 3: Enter your ADP Run Company Code
Step 4: Select your pay frequency
Note that the default selected pay frequency is based on the time clock settings
Step 5: Select the user custom field that represents the ADP employee ID.
Step 6: Name the payroll items associated with the work performed
Keep in mind that there is a limit of 10 characters per item
Step 7: Name the Sick Leave
Here in the drop-down all your existing PTO policies appear, and you can select all the policies you want to be marked in the export as sick leave.
Step 8: Name the PTO
All your existing Time Off Policies that were not selected as sick leave, will be assigned as PTO hours. You have the option to rename the policy to anything you like, for example, vacation or holiday.
Step 9: Select rate codes for Payroll items, Sick Leave, and PTO
Select the pay rate that should be applied to the hours worked according to your ADP Run pay rate settings (default value is 'BASE'):
BASE: 1st pay rate defined for an hourly employee
RATE_2: 2nd pay rate
RATE_3: 3rd pay rate
RATE_4: 4th pay rate
RATE_5: 5th pay rate
HRLY4SLRY1: 1st hourly rate defined for salaried employee
If you completed the setup, click on 'Save' and then on the integration page 'Save changes'.
Exporting Timesheets to ADP Run
Now that you have configured your ADP Run export it’s time to export it! To do so head to the time clock, to the time sheets tab, and click on export. Then click on `Export to ADP Run (csv)`. Your CSV file will download and you can upload it to ADP Run.
💡Tip: Make sure to go over your employees' time sheets and resolve any conflicts in Connecteam before exporting them!
Be Aware of the Following Technical Requirements
The file should include only ADP active employees. ADP employees with a status of Leave of Absence will be excluded from payroll processing. ADP employees with a status of Terminated before the pay period start date will also be excluded from payroll processing.
On ADP, if there is already a file for the pay frequency that is Pending or Approved, you must finish importing that file before you can import another one. You can import multiple files only if each one is for a different pay frequency.
The file name should include the pay frequency and pay period start and end dates (e.g. Biweekly-08172013-08302013.csv).
The file can include data for only one pay frequency.
Client code (IID), pay frequency, and the pay period start date and pay period end date must be the same on every row of the file.
The file must include rate codes only, not rate values.
For more information on how to import files, please review this ADP Run information.
