Monitoring employee clock-in times is essential for accurate payroll records and streamlined operations. With Connecteam's late clock-in monitoring capabilities, you can easily track when employees start their shifts, spot attendance patterns, and manage time records efficiently. This helps ensure accurate pay calculations while giving you clear visibility into your team's attendance.
In this article, we will cover how to:
Option 1: Use the Attendance Widget on the Overview Page
For those using both the Time Clock and Job Scheduler, heading to the overview page will bring you to a dedicated Attendance section. This shows you which employees are running late and by how much time, as well as which employees have already clocked in and their clock-in times.
To get started:
Head over to the left sidebar, and click on the Overview page on the top left > Go to the Attendance widget > Click on 'Running Late' to see who's late to their shift, or 'Clocked In' to see who has started their shift, you can also view who is on Time Off.
You can perform several quick actions from the Attendance section to track late clock-ins effectively:
Message late employees in two ways: Click the Chat icon to send a bulk message to all late employees at once through a messaging window, or click the three dots next to an employee's name to send a personalized message.
View scheduled shift details by clicking the three dots next to an employee's name. A window will open displaying the shift details.
Use Quick Filters to sort employees by profile fields, for instance, you can filter late clock-ins by location. In the example below, we filtered for employees whose location is New York or Staten Island to see who is late from these areas.
💡Tip: Admins can customize which attendance information will appear on the overview page. For better monitoring, you can choose to display only the employees running late. Click on the settings icon, and select Running late from the dropdown.
Option 2: Use the Job Scheduler Late Clock-Ins Indication
If you are assigning shifts and tasks on the Job Scheduler and wondering who is running late, you can easily check clock-in statuses directly from the Job Scheduler.
This is how:
Navigate to the Job Scheduler.
click on the viewing option at the top left, and select 'View by users'.
Next, by each employee's name on the left, you will see the following indicators: a green clock for employees who have clocked in and a yellow clock for those running late. This allows you to quickly identify and replace late or absent employees without leaving the schedule, ensuring smooth operations by assigning tasks to employees who are already clocked in.
Option 3: Use the Auto Reports Capability
For those who wish to maintain a lateness capability, you can use the Auto-reports capability in the Time Clock. Enabling Auto reports will allow you to receive automatic reports directly to your email, which will include only relevant information!
To enable Auto reports, enter the relevant Time Clock and head over to settings. Once you're in the settings, click the ‘Auto reports’ tab and start setting up your custom Auto report! Take a look at this short demonstration of the Auto report setup:
Select a title for your Auto report (Late Clock-in), and add a short description.
Under ‘Report Type’ select ‘User Report’. A drop-down menu will appear; select the option ‘Users that haven’t clocked in yet today’.
Next, select all of your working days and set a time for the report to be sent; this should be at a time which is after your employees’ usual start time to see who is late.
Choose the recipients who you wish to receive this Auto report.
Next, decide if you would like the report to be sent either as an Excel or PDF file.
Finale step (Optional): Filter only for users who are scheduled to work on certain days, so you do not receive reports about employees who are not working. To learn more about Time Clock Auto Reports, click here!
