Through the Time Clock Connecteam offers a convenient way to track employee hours and manage payroll. One capability, the ability to round an employee's worked hours makes it easier to calculate and process payroll.

Why Use Rounding Hours?

Rounding hours can save time and effort when it comes to calculating payroll. It eliminates the need to round each employee's time manually and ensures consistency in the rounding process. Additionally, rounding hours can help prevent disputes over small discrepancies in time worked. Using a set rounding interval, all employees are treated equally and fairly. Finally, you'll be able to ensure that just a few extra minutes of work here and there don't cost you and your company additional money.

How to Set Up Rounding Hours

You can set up rounding hours in a few simple steps through your time clock settings. First, enter the General tab and select timesheet rounding. Then choose the increment by which you would like to round the hours. The options are 5, 10, 15, or 30 minutes. Note that once you activate rounding it applies to all current and past timesheets.

How Does Rounding Hours Work?

Rounding hours in Connecteam allows you to set a specific time interval for rounding, which you choose when setting up the rounding, such as 15 minutes or 30 minutes. This means that any time worked within that interval will be rounded up or down to the nearest quarter or half hour.

For example, if an employee clocks in at 8:07 AM and the rounding interval is set to 15 minutes, their time will be rounded down to 8:00 AM. Similarly, if they clock out at 5:23 PM, their time will be rounded up to 5:30 PM. Let's take a look at exactly how rough hours look in the Timesheets and when exported below.

How Rounded Hours Appear in Timesheets

Below, you can see an example of how rounded hours appear in the timesheets. When hovering over the hours you can always see the original hours worked by the employee, ensuring that no data is lost and you always have a record of these hours.

💡Tip: The start time will only be round hours and will only appear after the employee clocks out. Keep this in mind when looking at active shifts.

How Rounded Hours Appear when Exported

Regardless of the export format you choose, when exporting the timesheets the In and Out times will appear as rounded.

At the end of the export, you will also see 4 columns related to the unrounded hours. These are start date (unrounded), in (unrounded), end (unrounded), and out (unrounded).

💡Tip: If the start and end dates are the same when rounded/unrounded these columns will appear empty. The only time the start and end date will change is in the case of overnight hours. For example, an employee clocks out at 11:57 pm, but the hours are rounded to the nearest 10 minutes so when rounded their out time becomes 12:00 am, the following day.

How Do Rounded Hours Appear for My Employees

For employees rounded hours appear the same as admins looking at the timesheets. The hours will appear as rounded, however when opening a specific day, the employee will always be able to see the unrounded hours they worked.

Frequently Asked Questions

What happens if employees edit their hours or make shift requests, will the hours be rounded?

When making the edit or request, the original clock in and out times will be displayed. After submitted however the times are rounded.

We changed our mind about rounding hours, what happens if I shut the rounding capability off?

Not a problem, once you deactivate the rounding, all timesheets (current and past) will simply revert to displaying the employees' original clock in and out times.
