How to integrate with QuickBooks Online

Conducting payroll can be one of the most tedious and time-consuming processes for organizations. At Connecteam, we have made it our mission to simplify that process and make it as quick and easy as possible so that you can focus your efforts on what matters most. In this article, we will walk you through the key steps to streamline your payroll with QuickBooks Online (QBO).

What you need to do before using the export

In Connecteam:

In QBO:

  • Ensure your QBO account includes payroll. The integration only supports QBO accounts with the "Track time" feature (Essentials, Plus, and Advanced plans).

  • Set up the employees.

  • If needed, configure the customers, sub-customers, and items.

  • If needed, configure the overtime settings.

  • Ensure the payroll period in QBO matches the payroll period in Connecteam.

💡Tip: We highly recommend following QBO's guide on payroll setup before exporting from Connecteam.

Setting up your export

Step 1: Set up the connection between Connecteam and QBO

  • Click on the Settings tab in the time clock, scroll down, and click on Integrations in the sidebar.

  • Navigate to QuickBooks Online and click on Connect.

  • You will be redirected to QBO to approve the connection on their side.

  • Once the connection has been made successfully, click on Continue to setup to begin setting up the integration.


Step 2: Match Connecteam users with QBO employees

  • First, you will see the result of our auto-matching.

  • If all users are matched, press Continue to move forward.

  • If a user was auto-matched incorrectly, you can change this manually.

  • If you don't want a user to be included in the integration, you can select Don't include.


Step 3: Match Connecteam jobs (and sub-jobs)

  • Here, you can decide whether and how to export jobs and sub-jobs working hours from Connecteam.

  • To match Connecteam jobs (and sub-jobs) with the related fields in QBO, select the corresponding fields in QBO. If you do not want the jobs and/or sub-jobs to be included in the integration, you can select Don't include.

  • If you've configured jobs but not sub-jobs in your time clock settings, you can match only the job in Connecteam to the relevant QBO field.

  • The available matching options are:

    • Customer

    • Sub-customer

    • Item

  • Each of these QBO fields can be matched to the job or sub-job fields in Connecteam.

  • The dropdown options for jobs and sub-jobs will reflect the objects you have in QBO for the selected field. For example, if you choose to match a Connecteam job to a QBO item, the dropdown next to the Connecteam job will list all QBO items.

  • If you do not want a specific job and/or sub-job to be included in the integration, you can select Don't include.

  • When you are finished, click on Complete setup.

  • After closing the setup confirmation modal, make sure to click on Save changes in the Integrations setting page to save all the changes.

Export timesheets to QBO

  • Head to your time clock, to the Timesheets tab, click on Export, then click on Export to QB Online.

  • The export is based on the selected date range and the selected users in the timesheet. Users can be filtered out if needed.

  • Once you have exported, a success message will appear, confirming that all selected data for the selected users has been successfully exported to QBO.

  • If the export was not completed successfully, you will see the errors and descriptions on how to fix them.

Next steps in QBO

  • Now that you've successfully exported to QBO, please verify that the hour units have synced correctly to your employees' timesheets in QBO.

How to update the integration setup after you added new items

  • As your company grows and changes, you will likely add new items, such as new users, jobs, or sub-jobs. Before these items can be exported to QBO, they need to be matched. To do this:

    • Enter the time clock, click on Export, find the Export to QB Online option, and click on the settings icon.

    • Match the new items and press Complete setup.

How to disconnect the QBO integration

  • If you need to disconnect the integration, follow these steps:

    • Head to the Time clock, click on Settings, enter the integrations tab, and click on Disconnect.

Frequently asked questions

Can Connecteam transfer Overtime hours to QBO?

  • Due to current limitations of the QuickBooks API, the integration with Connecteam does not support transferring overtime hours separately from regular hours.

  • Instead, overtime hours are included and calculated alongside regular hours in the export.

  • However, QuickBooks will notify you if the hours exceed the regular limits, allowing you to easily make adjustments with just a few clicks.

  • To ensure this functionality works as expected, be sure to configure the overtime settings in your QBO account.

Can I connect more than one time clock to my QBO account?

  • Yes, but all time clocks should be connected to the same QBO account.

What happens if I export the same payroll period twice?

  • The hours you export from Connecteam will always overwrite your hours in QBO.

When I click on Export to QB Online I receive an error from Connecteam telling me that I have unmatched items. What does it mean and what should I do?

  • This likely means that you have made changes to your Connecteam account since setting up the integration.

  • It’s possible that you have added new users, jobs, or sub-jobs.

  • You will need to match these items prior to exporting the data.

    • To do this, simply click on the Resolve now and match the new items.

Why can't I find my contractors when matching users?

  • Currently, the QuickBooks API does not support transferring hours for contractors. When this feature becomes available, we'll be sure to add it to the integration!

Why does another admin need to connect the integration if I’ve already done it?

  • Each admin has a unique login to QBO, which means that every admin must personally connect their account to the integration.

I’ve used the integration before, but now job data is available to be transferred. What should I do?

  • The integration will continue to function even if you take no action.

  • If you want to export hours by job, go to the integration setup by entering the Time clock, clicking on Export, finding the Export to QB Online option, and clicking the settings icon. From there, you can configure jobs according to the step-by-step setup guide provided above.
