How To Edit a Group Chat?

Groups let you communicate with multiple people in one conversation — a team, a project, a location, or anyone you want to keep in the loop. Every group has one setting that controls who can post: Allow members to send messages.

  • Leave it on when you want everyone in the group to send and reply to messages.

  • Turn it off when you want only admins to post — useful for announcements that should stay visible and not get buried under replies.


Accessing the Manage Groups Tab

To access the Manage Groups tab navigate to the Chat on the left sidebar and click on the three dots on the top left, and select the Manage Groups tab.


Admin Permissions to The Groups Tab

Here are the steps for assigning admins to a group chat or channel:

  1. Start by locating the Admin Permissions at the top of the Manage Groups tab.

  2. Here you'll be able to decide if all new admins should automatically be added to this feature and/or if admins should be able to add other admins to the feature. Toggle on or off the options that fit your company's needs.

  3. Finally, to add an admin simply select them from the drop-down list. Next to their name, you will be able to set their specific permissions.

Please note: All owners and admins of the chat can edit all team chats and channels, regardless of whether they are participants.


How to Edit Groups

Groups can be assigned based on Smart Groups, selected users, or a combination of both, and what can be edited will depend on how it is assigned. This includes updating participants, modifying settings, or adjusting assignments.

To edit any team chats/channels you will need to:

  1. Enter the Chat from your sidebar

  2. Head to the Manage Groups tab (through the 3 dots on the top, as explained before)

  3. Click the Edit button (with the pencil icon) next to the relevant chat

  4. Make any necessary changes.

Editing Groups Based on Smart Groups Assignment

Since the group is based on smart groups employees will automatically be added or deleted based on the smart group rules. The admins are the same admins who administrate the smart group assigned to the chat, and no admins can be added to the chat after it has been created.

What you can edit are the assignments:

  • Re-assign the group to a different smart group, or add another smart group.

  • Re-assign the group using the select user's option.

  • Re-assign the group to include the smart groups & selected users option.

Please note that if an admin is not part of the selected group, they will not be able to participate in or view the conversations. However, they will still retain the ability to manage the group and a pop-up message will appear in the settings while assigning the group to notify you of this limitation.

💡Tip: If you need an admin to be included in a chat but they’re not part of the Smart Group, you can either use the Smart Group and select the user assignment described below, or simply add them to the Smart Group.

Editing The Group Based on Selected User Assignment

If you base the group on selected users, simply click the Edit button for the chat. As explained above, you can select the users you want to include, assign an admin for the chat, add or delete team members, and assign additional admins as needed.

Keep in mind that once Smart Groups are assigned, employees will automatically be added or removed based on the Smart Group rules. If you are creating a group or based on a Smart Group and need to include a user who is not part of that group, you also have the option to manually add selected users.

In our example below, we are adding the "Sofa Cleaners," "Floor Cleaners," and the "New Jersey Branch" Smart Groups to the Target Paramus Commercial Cleaning Project. We also added the user "Henry Caffarrena" manually since he is a project manager and is not included in any of the Smart Groups mentioned above.


Changing Who Can Post in a Group

You can control whether all members can post in a group, or only admins, at any time — nothing is locked in when the group is created.

To change who can post, follow these steps:

  1. Open the group in Chat.

  2. Open the group's Description & click Edit

  3. Turn Allow members to send messages on or off:

    • On — all members can post.

    • Off — only admins can post.

  4. Save your changes.

💡 Tip: Turning off member messaging doesn't remove members or message history — it only changes who can post going forward.
