How to View Scheduled Labor, Actual Labor, and Sales Data in the Schedule

Understanding how to view scheduled and actual labor costs in the schedule

Understanding labor costs is crucial to your company’s profitability. By reviewing your projected (scheduled) labor costs during the scheduling process, you can ensure employee shifts align with your budget and spot inefficiencies like overtime, understaffing, or overstaffing—so you can adjust in real time.

By analyzing past schedules and reviewing actual labor, you can identify when labor costs exceeded budget and use those insights to optimize future schedules and avoid similar costly mistakes. You can also track sales data in the schedule to compare revenue against labor, monitor labor percentage, and make more informed staffing decisions.

In this article, we’ll cover everything you need to know about viewing labor costs and sales data in Connecteam.


Before You Begin

Before proceeding, keep the following requirements in mind:

  • To view scheduled labor costs in the schedule, you must have Pay rates enabled and set.

  • To view actual labor costs, employees must be clocking in and out using the Time Clock feature.

  • To view sales data, make sure Sales data is activated under General settings > Integrations.


Setting Up Admin Permissions

To view sales data and labor costs in the schedule, admins must have the correct permissions enabled.

Step 1: Go to the Admin Tab

  1. Open the Sales and Activity tab.

  2. Click on the Admin bubble to manage permissions.

Step 2: Review Schedule Permissions

All admins with view permissions on the schedule will be able to see the labor cost row and internal toggles.
However, using or activating these internal toggles requires additional permissions, as outlined below:

Please note: Labor costs are only visible to admins who have permission to view or view and edit pay rates. Without these permissions, the labor cost row and related data will not appear in the schedule.


How to View Labor Costs in the Schedule

To view labor costs, follow these steps:

  1. From the left sidebar, open Job Scheduling.

  2. Open the relevant schedule.

  3. Click View options (top left).

  4. Click Show more.

  5. Toggle Labor costs to On.

Once enabled, you’ll see the labor totals at the top of each day.

Choose Which Labor Costs to Display

After enabling labor costs, you can choose which labor totals appear.

  1. Click the three-dot menu next to Labor costs.

  2. Toggle on one or both of the following:

    • Scheduled labor — Based on the shifts/jobs scheduled for the day and the pay rates assigned to the assigned employee.

    • Actual labor — Based on the time your employees worked and their pay rate (or pay rate per job).


View labor costs by Jobs or Layers

You can also view labor costs by switching to View by Jobs or View by Layers. Viewing labor costs by jobs, customers, or layers helps you evaluate expenses in the context of workload.

If costs are high on a particular day, you can quickly pinpoint the jobs or layers contributing to the increase and adjust schedules as needed.


View labor costs in Daily view

To view labor costs in the Day view:

  1. Switch to Day view.

  2. In View options, enable Daily totals.

  3. Hover over the Labor tab on the far right.

Note: Labor costs are available from the Operations Hub Basic plan and above.


What is Included in the Scheduled Labor Costs Calculation?

Now that you know how to view your scheduled labor costs, let's review what is considered and what is not when calculating them.

Included

Paid Time Off

Daily Overtime

All other types of overtime (consecutive day, weekly overtime, etc)

Publish Shifts & Draft Shifts Assigned to Users

Unclaimed Open Shifts, & Unassigned Shifts

Note: Published Open Shifts (shifts that employees can claim) are included in the calculation AFTER being claimed by a user and/or approved by an admin. To learn more about open shifts, click here. 

Important note about Monthly/Yearly pay rates: The scheduled and actual labor cost calculations do not include users who are set as Monthly or Yearly in their pay rate settings. Because these pay types don’t map cleanly to daily costs, labor cost totals currently include hourly-rate users only.


How to View Actual and Projected Sales Data in the Schedule

Seeing sales data directly in the schedule helps managers quickly assess team performance against revenue, spot inefficiencies, and make real-time staffing decisions based on actual business outcomes.

You can view two types of sales data in the schedule:

  • Actual Sales Data: Sales revenue pulled from your POS for the time that has already passed.

  • Projected Sales Data: Expected sales values for upcoming shifts. These can be pulled from your integrated POS system or manually imported.

By monitoring projected labor percentage and sales variance, you can spot gaps early and adjust schedules to stay balanced, efficient, and profitable.

If your account is integrated with a POS system such as Lightspeed (K series), you can view Actual Sales Data alongside labor costs. This means that in addition to Scheduled Labor and Actual Labor, you can enable an additional row in the schedule called Actual Sales Data, which shows total sales revenue.

Note: To view this, make sure Sales data is activated under General settings > Integrations.


On Your Desktop:

  1. From the left sidebar, access the Schedule and the relevant schedule

  2. Click the three-dot menu next to the existing labor cost toggles

  3. From View options, toggle on Labour costs

  4. From the three-dot menu next to Labor & Sales, toggle on the Actual toggle for Sales data

Your screen will then reflect the sales data:


On Your Mobile:

Use Daily Totals in the mobile app to see your total hours, scheduled shifts, and labor data for each day directly from your schedule.

To view Daily Totals in your schedule, follow these steps:

  1. Open the mobile app.

  2. Open your Schedule.

  3. Select Viewing Options.

  4. Select Day View.

  5. Toggle Daily Totals to On.

Once enabled, Daily Totals appear at the top of each day in your schedule.

How to View Labor Percentage

You also have the ability to display your Labor Percentage — the share of labor costs compared to sales.

  • Actual Labor Percentage is calculated by dividing your Actual Labor costs by your Actual Sales, giving you a quick view of labor efficiency based on real performance.

  • Projected Labor Percentage is calculated by dividing your Scheduled (projected) Labor costs by your Projected Sales, helping you estimate labor efficiency ahead of time and adjust staffing before shifts begin.


Frequently Asked Questions

Why don’t I see labor costs in the schedule?
​Make sure you have pay rates enabled, and that your admin role has permission to View or View & Edit pay rates. Labor costs won’t appear without these permissions.

Why is “Actual labor” missing or showing as 0?
Actual labor costs are based on Time Clock activity. Employees must clock in and out using the Time Clock feature to generate actual labor totals.

Are Monthly/Yearly pay rates included in labor cost totals?
No. Scheduled and actual labor cost calculations currently include hourly-rate users only. Users set to Monthly or Yearly pay rates are not included in the daily labor cost totals.

What’s the difference between Actual Sales Data and Projected Sales Data?
Actual Sales Data shows real sales revenue pulled from your POS for past time periods. Projected Sales Data shows expected sales values for upcoming shifts, pulled from your POS (if available) or added by manual import.
