In Connecteam, we want to ensure managers can assign each Job Schedule to the relevant employees. A Time Clock can be assigned to either smart groups or selected users. Let's understand how exactly to edit the assignment of a schedule so that only the right employees have access to it.
In this article we'll cover:
Smart Groups vs Selected Users
Smart groups: Assigning the Job Schedule to a Smart Group is a dynamic assignment that applies both to current and future group members. This means that every time a new user is added, they will automatically receive the appropriate schedule based on the smart groups to which they belong.
Specific users: Assigning the Job Schedule to specific users is a static assignment, meaning that the feature is only assigned to the employees selected at the time of assignment. Each time you add a new employee, you will need to edit the schedule's assignments and assign them to the new user.
How to Edit the Assignments of the Job Schedule
Use either smart groups or users, or a mix of both. For instance, you may have a specific team and add two temporary contractors to a particular project.
To edit the assignments of the Job Schedule:
Log in to your admin dashboard
Access the Job Schedule feature from the left sidebar
Hover over the relevant schedule, click the three dots in its bottom left corner, then Edit Assignments
From Assignees, you can select Smart Groups, Specific users, or use both
From the Select groups dropdown, you can search groups and select the relevant ones
From Specific users, you can search and select the relevant user. Use Advanced selection to filter users
Click Next
From Summary, click Confirm
Great! Now, only relevant employees can access the schedule.
