In Connecteam, we want to ensure managers can assign each Job Schedule to the relevant employees. A Time Clock can be assigned to either smart groups or selected users. Let's understand how exactly to edit the assignment of a schedule so that only the right employees have access to it.
Smart Groups vs. Specific Users
When you assign a Job Schedule, you can choose Smart Groups, Specific users, or a mix of both. The option you choose affects whether assignments update automatically over time.
Assigning a Job Schedule to a Smart Group is a dynamic assignment. This means it applies to current and future group members.
When a new user is added to a Smart Group, they will automatically receive the schedule based on the Smart Groups they belong to.
Specific Users
Assigning a Job Schedule to Specific users is a static assignment. This means it applies only to the employees you select at the time of assignment.
If you add a new employee later, you’ll need to edit the schedule’s assignments and manually assign the schedule to that user.
How to Edit the Assignments of the Job Schedule
You can assign the schedule using Smart Groups, Specific users, or both. For example, you might assign a schedule to a team using a Smart Group and add two temporary contractors as Specific users for a project.
To edit the assignments of a Job Schedule, follow these steps:
Log in to your admin dashboard.
From the left sidebar, open Job Schedule.
Hover over the relevant schedule, click the three dots in the bottom-left corner, then select Edit Assignments.
Under Assignees, choose Smart Groups, Specific users, or both.
If you selected Smart Groups, open the Select groups dropdown, search for the relevant groups, and select them.
If you selected Specific users, search for the relevant users and select them.
Use Advanced selection to filter users.
Click Next.
Under Summary, click Confirm.
