How to Deactivate Features

Make sure to deactivate any features that are no longer needed and delete them from the sidebar

If you have any features that you no longer need, you can easily deactivate them and even remove them from the sidebar to clear up your view. Let's review how to deactivate each feature we offer and how to remove it from the sidebar afterward, step by step! 

This article will cover:

How to Deactivate Features

Generally, to deactivate most features, you need to delete all the assets within them. In this section, we will explain how to do this for each feature individually.

Please note: once you delete an asset/item, all of its history and entries will be deleted, and it won't be possible to restore it. Please make sure to export all the information you may need to access later on before deleting the assets from the platform.

An Alternative to Deactivating Features:

Before proceeding with deactivating features (and losing their usage history and settings), please consider the following:

Some features can be deactivated but their usage history will be preserved (as long as the feature is not deleted from the sidebar). These features include Celebrations, Chat, Directory, Documents, Time Off, Recognitions, and Rewards. If you ever wish to start using them again, you can activate them back and see how past information still exists. 

However, some features can only be deactivated if the assets within them (both active and archived) are deleted, resulting in the loss of usage history. These features include features like Quick Tasks, Time Clock, Job Scheduler, Forms, Updates, Knowledge Base, and Courses. For these features, we suggest the alternative of either just archiving the assets or unassigning users from them. 

Time Clock

To deactivate the Time Clock:

  1. Access the Time Clock feature from the left sidebar

  2. In the Time Clock Lobby, you will view all the clocks you have. Click on the three dots next to each and click on Delete

  3. A pop-up warning will appear, please click on Delete again

  4. Once all individual assets (time clocks) are deleted, you are all done! The feature will be deactivated.

Job Scheduler

To deactivate the Job Scheduler:

  1. Access the Job Schedule feature from the left sidebar

  2. In the Job Scheduling Lobby, you will view all the schedules you have. Click on the three dots next to each and click on Delete

  3. A pop-up warning will appear, please click on Delete again

  4. Once all individual assets (job schedules) are deleted, you are all done! The feature will be deactivated.

Forms  

To deactivate the Forms feature:

  1. Access the Forms feature from the left sidebar

  2. In the Forms Lobby, you will find two tabs: Active and Archived. Please review each of them and make sure to delete each asset (form) within them.

  3. To delete a form, hover over it and click on the trash icon located on the far right.

  4. A pop-up warning will appear, please click on Delete again

  5. Once all individual assets (forms) are deleted, you are all done! The feature will be deactivated.

💡Tip: you can delete forms in bulk by selecting each of them, clicking on Actions, then on Delete, and then on Delete again once the pop-up warning appears.

Quick Tasks

Deactivating the Quick Task feature can be done faster than most other features in the platform. To deactivate it:

  1. Access the Quick Tasks feature from the left sidebar

  2. Click on the Options button on the top right corner of the feature and select Delete Quick Tasks

  3. A pop-up warning will appear, click on Delete again

  4. All done! You have now deactivated the Quick Tasks feature.

Chat

To deactivate the Chat feature:

  1. Access the Chat feature from the left sidebar

  2. Click on the three dots on the top left side and then click on Deactivate

  3. All done! You have now deactivated the Chat feature.

Help Desk

To deactivate the Help Desk:

  1. Access the Help Desk from the left sidebar

  2. Navigate to the Manage Desks tab

  3. Click on the three dots on the right side of a desk, select Delete, and then confirm the deletion.

  4. Repeat this process until you delete all active and deactivated help desks.

  5. Once they've all been deleted, hover over the feature from the left sidebar, click on the three dots, and select Delete

Updates

To deactivate the Updates feature:

  1. Access the Updates feature from the left sidebar

  2. Please review the Active tab and the Archived tab and make sure to delete each asset (update) within them.

  3. To delete an update, hover over the far right and click on the trash icon

  4. A pop-up warning will appear, please click on Delete again

  5. Once all individual assets (updates) are deleted, you are all done! The feature will be deactivated.

💡Tip: you can delete updates in bulk by selecting each of them, clicking on Actions, then on Delete, and then on Delete again once the pop-up warning appears.

Directory

To deactivate the Directory feature:

  1. Access the Directory feature from the left sidebar

  2. Click on the Options button on the top right corner and then click on Deactivate

  3. All done! You have now deactivated the Directory feature.

Survey

To deactivate the Survey feature:

  1. Access the Survey feature from the left sidebar

  2. You will find two tabs: Active and Archived. Please review each of them and make sure to delete each asset (survey) within them.

  3. To delete a survey, hover over it and click on the trash icon located on the far right.

  4. A pop-up warning will appear, please click on Delete again

  5. Once all individual assets (surveys) are deleted, you are all done! The feature will be deactivated.

💡Tip: you can delete surveys in bulk by selecting each of them, clicking on Actions, then on Delete, and then on Delete again once the pop-up warning appears.

Events

To deactivate the Events feature:

  1. Access the Events feature from the left sidebar

  2. You will find two tabs: Active and Archived. Please review each of them and make sure to delete each asset (event) within them.

  3. In the Active tab, click on the button Show upcoming and make sure to select the option Show all

  4. Then, to delete an event, hover over it and click on the trash icon located on the far right.

  5. A pop-up warning will appear, please click on Delete again

  6. Once all individual assets (events) are deleted, you are all done! The feature will be deactivated.

💡Tip: you can delete events in bulk by selecting each of them, clicking on Actions, then on Delete, and then on Delete again once the pop-up warning appears.

Knowledge Base

To deactivate the Knowledge Base feature:

  1. Access the Knowledge Base feature from the left sidebar

  2. You will find two tabs: Active and Archived. Please review each of them and make sure to delete each asset (knowledge base) within them.

  3. To delete a knowledge base, hover over it and click on the trash icon located on the far right.

  4. A pop-up warning will appear, please click on Delete again

  5. Once all individual assets (knowledge bases) are deleted, you are all done! The feature will be deactivated.

💡Tip: you can delete knowledge bases in bulk by selecting each of them, clicking on Actions, then on Delete, and then on Delete again once the pop-up warning appears.

Time Off

To deactivate the Time Off feature:

  1. Access the Time Off feature from the left sidebar

  2. Click on the Options button on the top right corner and then click on Deactivate Time Off

  3. All done! You have now deactivated the Time Off feature.

Courses

To deactivate the Courses feature:

  1. Access the Courses feature from the left sidebar

  2. You will find two tabs: Active and Archived. Please review each of them and make sure to delete each asset (course) within them.

  3. To delete a course, hover over it and click on the trash icon located on the far right.

  4. A pop-up warning will appear, please click on Delete again

  5. Once all individual assets (courses) are deleted, you are all done! The feature will be deactivated.

💡Tip: you can delete courses in bulk by selecting each of them, clicking on Actions, then on Delete, and then on Delete again once the pop-up warning appears.

Quizzes

To deactivate the Quizzes feature:

  1. Access the Quizzes feature from the left sidebar

  2. You will find two tabs: Active and Archived. Please review each of them and make sure to delete each asset (quiz) within them.

  3. To delete a quiz, hover over it and click on the trash icon located on the far right.

  4. A pop-up warning will appear, please click on Delete again

  5. Once all individual assets (quizzes) are deleted, you are all done! The feature will be deactivated.

💡Tip: you can delete quizzes in bulk by selecting each of them, clicking on Actions, then on Delete, and then on Delete again once the pop-up warning appears.

Documents

To deactivate the Documents feature:

  1. Access the Documents feature from the left sidebar

  2. Click on the Options button on the top right corner and then click on Deactivate

  3. All done! You have now deactivated the Documents feature.

Recognitions

To deactivate the Recognitions feature:

  1. Access the Recognitions feature from the left sidebar

  2. Click on the Options button on the top right corner and then click on Deactivate

  3. All done! You have now deactivated the Recognitions feature.

Rewards

Before learning how to deactivate the Rewards feature, it's important to note that once deactivated, users will no longer be able to view or use any remaining tokens left in their balance. To deactivate the Rewards feature:

  1. Access the Rewards feature from the left sidebar

  2. Click on the Options button on the top right corner and then click on Deactivate

  3. All done! You have now deactivated the Rewards feature and user with remaining tokens in their balance will not be able to view or use them anymore.

Celebrations

To deactivate the Celebrations feature:

  1. Access the Celebrations feature from the left sidebar

  2. Click on the Options button on the top right corner and then click on Deactivate

  3. All done! You have now deactivated the Celebrations feature.

How to Remove/Delete a Feature from the Sidebar

To delete an entire category/feature, and remove it from your sidebar, you’ll need to delete all active and archived assets within it first. Only once all assets are deleted and the category/feature is left empty, will you be able to delete it completely from the sidebar.

Please note: deactivating a category/feature can only be done by an owner or an admin, with the relevant admin permissions for the Sidebar (as illustrated in the image below).

To delete a category/feature from the sidebar, hover over the feature, click on the three dots, and select Delete.

If all categories/features are deleted from a sidebar and a section/folder is left empty, you can delete it by clicking on the three dots and selecting Delete. Then, confirm the deletion of the section.
