Customize Your Schedule Display: Categorize Shifts to Match Your Business Needs

The Job Schedule makes it effortless to create shifts or dispatch jobs for your team. By organizing the schedule display into groups - such as location, department, role, job, or any custom criteria - you can reduce clutter, quickly spot coverage gaps, and streamline dispatching with greater clarity and control.

In this article, we'll go over:

Step 1: Setting Up Your Groups and Customizing Them For Your Business Needs.

The most important first step is to define how your schedule will be structured and viewed. You can organize how your schedule is displayed by grouping it in different ways. Group by Users - organize the view by Smart Groups (such as department, branch, location, or manager), or by Custom Groups you create (like morning/night shifts), or choose to view the schedule by Jobs instead.

To set this up, navigate to your Job schedule settings, go to the 'Display' tab, find the 'Organize By Groups' section, set up your groups either by 'Smart Groups', 'Custom Groups' or 'Jobs'. This will ensure your schedule is organized in a way that makes sense for your specific business operations.

Step 2: How to Organize the Schedule by Groups in User View Using Smart Groups or Custom Groups for Schedule Organization

How To View The Schedule By Smart Groups

If you'd like to organize your schedule to be displayed based on your Smart Groups - such as by location or department, simply select the Smart Groups option as the display method, and choose the relevant groups from the dropdown menu. You can select multiple Smart Groups at once to tailor the view to your needs. This will ensure users are automatically arranged based on the smart groups they belong to.

How To View The Schedule by Custom Groups

If you choose custom Groups, you'll need to name each group - it can be 'Morning shift' or, as in our example, a job title like 'Cashiers'. Name your group and select which users to include for viewing in the scheduler. You can select more than one user, and will later also be able to edit your selections directly on the schedule.

How To Organize The Schedule By 'Jobs'

If you want the view in your scheduler to be grouped by jobs, name the group and select from the jobs you have set in Connecteam that are assigned to the scheduler from the dropdown menu. You can include multiple jobs in each group and will later be able to edit your selections directly on the schedule.

How To Edit The Groups In The Display Tab

To make changes to your groups, edit or delete them by following these steps:

  • Delete groups by clicking the trash can icon next to any group you want to remove.

  • Rename custom groups by hovering over the group name and clicking the pencil icon that will appear.

  • Reorder groups in your schedule by hovering over the grip icon to the left of each group name, then drag and drop to your preferred position.

Step 3: View the Schedule by Your Organized Groups

Once you've accessed your schedule, click on View Options in the top left corner, then toggle on 'Organized by Groups' option. This will display your schedule based on the grouping you've set up in the settings, in the display tab - whether by Smart Groups, Custom Groups, or Jobs.

Please note: Only the Owner or an Admin with permission to edit settings can control which group view will be available when this toggle is enabled. However, any admin (even without these specific permissions) can still choose whether to view the schedule by the groups that were set up.

In the example below, you can see the schedule organized by jobs.

Editing Existing Groups Directly From The Schedule

Owners or Admins with permission to edit the schedule settings can also edit the existing setup for organizing the schedule by groups directly on the schedule.

  • Users or jobs can be easily added or removed from the bottom of each custom group you have on the schedule

  • Clicking the gear icon on each group will enable you to customize the grouping settings for the view, directly in the schedule.

  • You can always go back to the schedule display tab in the Scheduler settings page by clicking on the gear icon in this popup.

💡 Tip: Collapse groups to work with a cleaner view and focus on scheduling for one group at a time. Take the example below from the Jobs view, where we've created custom groups based on the morning, evening, and weekend shifts to ensure all essential jobs are covered for each. You can collapse all but one so that you focus on them individually to maintain order.
