To gain more control over employee clock-ins for accurate time tracking and payroll, use the Time Clock settings. The Clock In and Out tab allows you to ensure employees can only clock in on days they have scheduled shifts, while the Limitations tab enables you to restrict clock-ins to the exact timeframe of their scheduled shifts.
Let's go over how to set this up step by step:
Ensure Clock-Ins on Scheduled Shift Days
Navigate to the Time Clock Settings > Clock In and Out tab > toggle on 'Users Clock In From Scheduled Shifts'. From there, you can select the devices users can clock in from and choose the schedules they can clock into
This ensures employees can only clock in on days they have scheduled shifts. This may be enough if your employees don't need to follow specific shift hours. For example, a project manager might have flexible working hours on their scheduled days.
Restricting Clock-ins to Shift Hours
To restrict clock-ins to scheduled shift timeframes, you'll need to set up limitations.
Go to Time Clock settings> Limitations tab> Check 'Clock in limitations', and mark 'Users can only Clock in within their schedule shift'.
This is useful when your employees need to work during specific shift hours. For example, a retail sales associate scheduled from 10 AM to 6 PM won't be able to clock in before their assigned shift time.
Note: If the limitations are not enabled, employees can still clock into shifts as set up in the Clock In and Out settings (shown above). However, the timeframe for clocking in will not be restricted.
When the limitations are set up, employees won't be able to clock in (the option will be grayed out).
💡Tip: You can set limitations on how early employees can clock in before their shifts, or automatically clock them out after their shifts. To learn more about this, read here.
