Learn how to use Connecteam’s powerful user filters

Connecteam's User Filters help you reduce the time spent in finding the users you need for certain tasks. With the use of Quick Filters or Advanced Filters, you can customize your search for a list of users in a way that’s comfortable for you. The filters give you the option to work with a focused view and take action accordingly.

How to Use the Filter

You'll find the filter icon at the top of your schedule. Click on it to open up the filter options. We offer two types of filters: Advanced Filters and Quick Filters.

💡 Tip: The provided filter options are based on the user profile fields, smart groups, and tags set up in your account.

Quick Filters

Quick Filters lets you effortlessly browse a selection of filters and apply them instantly, without needing to customize conditions.

In the example below, we want to pull a list of full-time employees who work in the New York Branch, so we'll add the 'Branch' user field and 'Position type' user field and select the options in both.

To add a filter, click the + button.

To reset the values of the filters, click on the Reset icon. To remove a filter from the list, click on the filter, then click on the Remove icon.

To reset all values, click Reset all.

Advanced Filters

Advanced Filters allows you to customize conditions to filter your schedule. The dropdown options will provide results based on the selected conditions and values.

In the example below, we want to see only employees in the positions of assistant manager, cashier, sales associate, and stock clerk whose employment start date is between January 1 to January 31, 2024 so that we can check their profiles and make sure they have been properly onboarded.

To add a filter, click on 'Add filter'. Decide if the next filter is added onto the previous by selecting ‘And’ or if both filters should be considered separately by selecting ‘Or’.

To remove a filter, click on the X to the right of the filter.

To reset all filters, click on the Reset icon.

An active filter will be indicated by a blue dot, like this:

💡 Tip: Quick Filters and Advanced Filters can be used interchangeably. However, keep in mind that Quick Filters only works when the value is followed by "Is", i.e. single values (Such as branch name). Switch to Advanced Filters to choose something that isn’t a single value or when picking a date (Such as 'Employment Start Date'). Filters that are anything other than a single value will display a message asking you to switch to the Advanced filter.

How to Switch Between Filters

You can easily switch between the filters to work with the view that's most comfortable for you. If you're on the Advanced Filters view, click on ‘Switch to Quick Filters’. If you're on the Quick Filters view, click on ‘Advanced Filters’.

💡 Tip: The Users page will automatically save the last filter options you were working with.

Taking Further Action

With a clearer view, you can now proceed to take additional steps from this screen. You can create new smart groups, update user details and interact with the included users, or export the newly filtered users list. Read on to learn how to do each.

Create Smart Groups

Once you have set a filter, you can create new smart groups using this filtered list. Smart groups help you automatically add and remove users from assigned content on Connecteam, automatically send content to users who meet the rules of the smart group, assign managers to a certain group, and more!

For example, let's filter the users to only view users whose direct manager is Anja Green. Once this filter is set, showing only 4 out of 18 users, I can click Save as group to save this as a new smart group called 'Anja's Team'. I'll select Anja Green as the manager of that smart group so she will be able to see her employees on the platform. Now, any new users whose direct manager is Anja Green will automatically join this smart group and have the relevant content visible to them, for example, the right time clock or schedule, or any important updates sent for Anja's team or team chats.

Perform Actions in Bulk

By using filters to narrow the user list, you can find the users you need and perform actions for them all at once in bulk, such as updating user details, creating tasks, and setting pay rates. Once your list is narrowed down, click on the check mark to select all users, click on Actions, and select an action.

For example, if you have employees who completed one year at the company and need to receive a raise, you can filter by Employment Start Date to view all employees who completed one year at the company and record a new pay rate for all.

Download the User List

Using the Export function, you can download and send the user list as a CSV or Excel file. Let's say you're a business with a few branches nation-wide, and you need to place an order for new uniforms. Filter the users list to view employees by branch and uniform size, so you can export a list of users per uniform size. Alternatively, use the display option to only show relevant information such as first name, last name, and uniform size, and then export the file.
