Planning, dispatching, and following the execution of your schedule is a tedious task. There are endless factors to consider, like who is qualified for the job. Who isn’t scheduled yet? Which positions aren't filled yet? This becomes even harder when managing a large number of people with multiple jobs.

For those reasons exactly, we created a smart filter in our schedule. Filtering only the relevant information gives you a clear view to ensure your schedule is flawless and published correctly.

In this article, we'll go over where to find the filter and we'll present a few examples when the filter becomes a life-saver in properly planning and dispatching shifts!

How to use the filter

The filter is found at the top of the schedule. You can filter by user details, feature usage, advanced user info, and custom fields.

Examples for when the filter is a life-saver:

  1. View users by smart groups or user profile fields

    If you need to publish shifts only for a specific department, team, or person, you can filter by smart groups, user profile fields, tags, and more. It allows you to have full control of how you publish your shifts to your employees.

  2. View only users that are qualified for a specific job

    To avoid mistakes and confusion by handing out shifts to unqualified users, you can easily filter for only employees who are qualified for a specific job.

  3. View users not assigned to any shift

    To evenly distribute your shifts, it’s essential to filter out the users who were already assigned to shifts and view only those who are still waiting to be assigned.

  4. View jobs without shifts

    To make sure that nothing falls between the cracks and that no job is left unattended, simply filter the jobs that don't have a shifts assignment yet. To do so, click on View options and select View by jobs.

  5. Follow up on your team’s shift status

    Filter your published schedule to see only rejected shifts or shifts that were not approved by your team, so you can avoid last-minute surprises and prevent no-shows.

  6. Easily view who hasn't begun their shift today

    Filter today’s schedule to view which employees haven't checked-in yet or who have already completed their shift. This option is only available if the Time Clock and Job Scheduler aren't synced.
