Events are an easy-to-use calendar-based tool for creating, managing, and distributing company events, including conferences, celebratory parties, happy hours, and much more! Given the significant amount of work and time that companies invest in each event, it's crucial to ensure everything goes as planned. A key aspect is understanding how many attendees you will have and gauging the overall sentiment toward the event. This insight helps create an enthusiastic and engaged environment leading to the special date.

In this article, we'll cover:

How to Access the Events Insights

To access the event insights, navigate to the Events feature from the left sidebar and select a specific event.

You will notice that the insights are divided into two sections: the Engagement and the Attendance Tracker. Let's go over each of these!

Engagement

On the right side, you can view the evolution of user engagement for a specific date range. Feel free to adjust the range as you see fit. On the left side, you can view the actual comments and reactions from users for the event. You can add more to the conversation to keep it going and create hype around the upcoming event.

Attendance Tracker

When it comes to attendance, you can get an overview of the number of users who are attending, not attending, and who don't know yet. Additionally, you can see the remaining spots you have for the event, which can either be unlimited or a set number. You can adjust this from the settings if needed.

As you scroll down to reach the detailed insights, you will encounter the percentage of attending users and the ones who haven't replied yet, alongside the actual list of users and their registration date, number of spots, and attendance status.

Managing the Event Insights

Use the following capabilities to easily manage and navigate your event insights:

  • Export: you can export an Excel (xlsx.) file by clicking Export button. You can share the file with anyone you need. This is an example of what it looks like:

*The ability to export the list of users is available from the Basic plan under the Communications hub and above*

  • Filters: You can filter this list based on any user details, number of spots, attendance status, and more. Simply click on Filter and choose how you'd like to narrow down your view.

  • Bulk Actions: by selecting multiple users, the Actions button will become available and offer the following options:

    • Notify via a push notification with a custom message you can write.

    • Edit spots: add or remove spots and confirm them.

    • Mark as attending (this option will only appear if the current status of the selected users is not "attending").

    • Mark as not attending (this option will only appear if the current status of the selected users is not "not attending").

    • Mark as maybe attending (this option will only appear if the current status of the selected users is not "maybe attending").

    • Mark as did not respond (this option will only appear if the current status of the selected users is not "did not respond").

    • Send chat message allows you to write a message that will be individually sent through the chat to each of the selected users.

    • Create team chat with selected: This option is ideal for instances where a few users have either not responded or have selected "maybe." You can create a team chat with all of them to remind them to provide a final decision regarding their attendance.

    • Create task: This option is best for very important events, such as mandatory ones or those that occur outside regular work hours. It allows you to remind users to confirm their attendance or acknowledge that the event is not part of the regular schedule.
