Why Can't I See Forms My Staff Have Completed?

If you're unable to view forms completed by your staff, this could be because you either don't have the necessary Admin Permissions or you're not assigned to manage the relevant Smart Groups

Let’s break down both scenarios below. 

Scenario 1: You Don’t Have Admin Permissions for the Form

Each form can be assigned to a specific admin, so be sure you are assigned admin to the form you're trying to view. Without the appropriate permissions, completed forms will not be visible in your admin dashboard.

To assign an admin to a form, access the relevant form and click on Asset Admins in the top toolbar. From there, select the specific admin you wish to add to the form. If you’re unable to access the form, contact the account owner or an admin with the necessary permissions to assign it to you.

Scenario 2: You’re Not Assigned to the Relevant Smart Group

You're not an admin of the Smart Group assigned to the specific form. This means you can view the form and its entries, but you won't be able to see the entries submitted by your users.


To resolve this, follow these steps:

  1. Head over to the Smart Groups page from the top of your left sidebar and locate the Smart Group assigned to the specific form for which you couldn’t see the entries, then click on it.

  2. Click on the Group Admins bubble in the top-right corner of the screen, and add yourself to the list of group admins.

Please note that if you do not see the smart groups tab on the left sidebar then you likely don't have permissions for smart groups at all. In this case, you will need to contact an administrator with these permissions or an owner of the account. They will be able to set these permissions on your behalf.
