Benefits of Adding Daily Notes
Businesses need to consider how their macro environment, which includes variables like holidays, seasonality, special events, and circumstances, affects their daily operations. Adding daily notes directly to the schedule ensures that both managers and employees properly prepare for the work day ahead and make informed decisions. For admins, they enable you to make proactive scheduling decisions, address potential issues early, and share vital information and reminders more effectively. For employees, daily notes ensure that everyone understands the day's priorities, stays updated on changes, and works together in better alignment.
Examples of when to use the Daily Note:
Weather Delays: Alert employees about weather conditions impacting outdoor work or safety.
Road Closures: Notify teams of roadblocks or traffic disruptions that may delay material deliveries and employee commute times.
Local Events: Inform staff about nearby events that could increase traffic and walk-ins.
Holiday Traffic: Prepare for higher foot traffic during holidays or sales events.
Safety Inspections: Communicate safety audits or inspections that may affect staffing and ensure employees understand the day’s expectations.
How to Add a Daily Note to the Schedule
To add a daily note to the schedule:
Log in to your admin dashboard
Access the Job Schedule feature from the left sidebar and then open the relevant schedule.
Hover over the Daily info row at the top of the schedule, navigate to the relevant day, and click the + icon to add a daily note.
Enter the note details:
Add a title
Add a description - You can include an image, file, and attachments.
Control the note visibility - you can decide who can view the note. Under 'Who can see this?' select the relevant smart groups and/or individual users who can see this note on their schedules.
Save the note
All done! It will now be displayed on the day you choose so that all relevant employees can stay informed. Take a look at the complete process illustrated below.
Please note: daily notes can only be added/created from the desktop. It's not currently possible to add daily notes from the mobile app.
💡Tip: As an admin, you can view your daily notes from all three views of the schedule: Day, Week, and Month.
How to Manage Your Daily Notes
Admins can easily edit and delete a daily note to fit the company's needs. Please note: any admin who has permissions over the specific job schedule can manage (edit and delete) an existing daily note, regardless of who created it originally.
Edit
You can edit everything regarding a note - from the title, note description, and note visibility to ensure only the relevant employees can view it. To edit a daily note:
Access the relevant schedule
Click on the daily note
Click on the three dots in the top right corner and then select Edit
Make the necessary changes - you can change the title, the description, and employees who can see the note.
When ready, Save it.
All done - everyone can now see the most updated information!
Delete
Before deleting a daily note from the schedule, keep in mind that this action is permanent, and the note cannot be recovered. If you need it later, you will have to create a new one. To delete a daily note:
Access the relevant schedule
Find the daily note you need and open it
Click on the three dots in the top right corner
Select Delete and confirm the action
Make the changes you need and then Save it.
*While the ability to add Daily info/notes to the schedule is available for all plans, the ability to control the visibility of the notes is only available from the Advanced plan under the Operations hub and above*
