Currently, admins assigned to Time Clock can edit both employee timesheets and their own. However, to prevent admins from editing their timesheets, we offer an alternative solution: create a separate Time Clock for Admins and another for Users. This way, admins are assigned to one Time clock as users, while maintaining their admin's permissions over another Time clock.
In this article, we will cover how to do this:
Step 1: Assign Admins to a New Time Clock
Navigate to the Time Clock feature.
Click Add New, on the top right.
Name your Time Clock (for example, "Admins Only").
Next, select who you want to assign it to - either a Smart Group or to Selected Users:
If using Smart Groups, you can select the "All Admins" Smart Group
If using Selected Users, manually select your admins
Once you've set up the Time Clock, access the Time Clock and click the Admin Settings bubble in the top right, to select which admins will manage this clock.
Note: Assign only admins who need to edit timesheets to this Time Clock, such as owners.
💡 Tip: To quickly set up a new Time Clock with similar settings, we recommend duplicating an existing Time Clock. To learn more about this click here.
Step 2: Edit the Assignment of the Time Clock with Your Employees
Navigate to the Time Clock feature.
Select the Time Clock you want to reassign.
Click the three dots next to the Time Clock and select Edit Assignment to assign only users to this Time Clock.
Select Smart Groups or Selected Users as needed, then continue to save Changes to apply your reassignment.
💡 Tip: To make this process easier, create a Smart Group, called 'All Users Without Admins' which excludes all admins. Then assign that Smart Group to the Time Clock. To learn more about creating smart groups click here.
Finally, set the admins for the employee time clock in the Admin Permission bubble within the time clock (as shown above).
Note: Since admins are not assigned as users in the employee Time Clock, they cannot edit their timesheets. This allows admins to edit their employees' timesheets but not their own.
