How to self-troubleshoot when the Time Clock is nowhere to be found

Employees use the Time Clock to clock in and out, check their timesheets, request time off, and add shifts. But what happens when they inform you they can't see it? In this article, we'll go over how to check the reasons why your employee may not see the Time Clock, and how to verify that your Time Clock is set up correctly.

Here are our reasons and solutions for each situation:

The Employee Doesn't Know Where to Access the Time Clock on the Mobile App

When learning to use a new software there can be challenges and it's entirely possible that the employee is unsure where to access the time clock. The first step in understanding why your employee does not see the time clock is to check that the employee understands where to access the time clock.

On the mobile app, the Time Clock feature can be found on the app's feed at the top of the screen (left image) and/or in the Assets tab (right image). If the employee still reports they cannot see the relevant time clock inside the feature, check if the time clock is active and if they are properly assigned to it. We go over how to do this in the following explanations.

The Employee Doesn’t See the Time Clock on the Admin Dashboard

Although most employees access the time clock through the mobile app, some prefer to access it on the web application. Therefore like the mobile, the first step is to understand if they know where to find the Time Clock.

After logging in the Time Clock feature will appear on the sidebar on the left-hand side of the screen and should look like this:

It is important to note that employees with manager permissions who need to access their time clock on the web app will see it by switching to the user's view. To switch between the two views, click on the settings tab in the top-right corner of your screen. When the dropdown appears, select the 'User's view' tab to switch between the two.

Now that you are sure that your employees don't see the time clock let's go over a few reasons why this might be the case and how you can solve them!

The Time Clock Was Archived

Once you access the time clock feature from the admin dashboard, in the active tab, you can see the company's time clocks. If the time clock does not appear on the active tab, it may be archived. To unarchive a time clock, click on the Archived tab, navigate to the relevant time clock, click on the three dots, and click on 'Restore'.

Tip: If you are an Admin and you do not see the time clock in the active or archived tabs. This may be due to one of two reasons:

  1. The owner of your account did not give you permission to this specific time clock therefore you are not able to see it. In this case, speak with the owner of your account, they can check if the time clock is indeed there or give you the necessary permissions to do so.

  2. The specific time clock you are looking for was deleted. If you would like to restore a deleted time clock then please reach out to Connecteam's Support Team (at the bottom right corner of your screen). They can assist you with that.

The Employee Isn’t Assigned to the Time Clock

As with every asset in Connecteam, Time Clocks are assigned to smart groups or select users. If the Time Clock is assigned to select users, it’s possible the employee has not been selected in the user list.

To assign an employee to the Time Clock, navigate to the relevant Time Clock, click on the three dots, and click on 'Edit assignments'. Mark the user and continue to save changes.

The Employee Isn’t in the Smart Group That is Assigned to the Time Clock

If a time clock is assigned to a smart group, employees in the smart group will automatically be assigned to the time clock. To check if employees are included in the smart group, go to the Smart Groups tab and click on the relevant group to view the included employees. Based on the filters set for the smart group, you may need to edit the employee's user card, such as editing a custom field.

Tip: If you want all of your users to be assigned to the Time Clock, choose the 'All Users' smart group. By default, every new employee that you add to the platform will belong to this group.
