Access and manage your survey entries

Surveys are ideal for understanding your employees' opinions, allowing you to collect valuable information on various topics. You can gather feedback on company culture, receive reviews on managerial performance, and much more. As a manager, knowing how to view and analyze these survey entries is key to gathering actionable insights for improvement and making informed decisions.

How to Access the Survey Entries

To access and view the survey entries:

  1. Access the Survey feature from the left sidebar

  2. Click on the specific survey you wish to see the entries for

  3. Then click on the Show Entries button on the top

  4. You are now in the survey entries modal, where you can view all entries made for the survey!

Understanding and Managing Survey Entries

Overview

Once in the survey entries modal, you can view all survey entries within a selected date range. You can easily adjust the date range manually or choose from the options provided (today, last 7 days, last 14 days, or last 30 days).

Once you set the date range, you will see how each line is a new entry, and for each, you can view the user's full name, entry number, and the following columns:

  • User Fields - by default, the only field included in this section is entries date of submission. However, you can easily add any other fields by clicking on the columns icon on the far right (below "Export") and selecting the desired fields.

  • Answers - this section displays a column for each survey field, showing the corresponding answer given by each user.

Please note: if you set the survey to be anonymous, you will not be able to view the user's full name, or be able to add any other user fields to your view in the survey entries modal. 

Quick Actions

Some quick actions that can be made include seeing a preview of the user's entry, filtering the entries, deleting the entries, downloading the entries in PDF, and exporting them to Excel. Let's dive into each of these options!

Filtering Survey Entries

You can easily filter survey entries by different criteria. To filter survey entries, click the Filter button in the top left corner, then choose what you want to filter for.

Editing the Survey Answers

As an admin, you can edit the answers of a survey by simply clicking on the user's original answer and either selecting another choice from the dropdown or rating or by writing a new text in the open-ended questions.

This is especially useful when a user has made a mistake and submitted their entry, but they notified you of the error and have asked if it can be changed, for example.

Exporting, Downloading, and Printing Survey Entries

You have the option to export survey entries to Excel, to download them in PDF format, or to print them. Let's go over these options!

  • Export (Excel) - you can quickly and easily export all your entries for the selected date range to Excel. To export survey entries to Excel, click the Export button in the top right corner.

    Take a look at an example of the exported Excel file:

  • Download as PDF and Print - to either download a survey entry as PDF or to print it, click on the document icon next to the user's name, you will see how a pop-up will appear on the right side with the preview of their entry. To download it as PDF simply click on the Download PDF button at the bottom, and to print the user's entry, simply click on the Print button at the bottom.
